About The Position

The Community Corrections Division is seeking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Monroe Field Office. This position performs file management and routine, advanced clerical support tasks for the Administrative Assistant 4 (AA4), Community Corrections Supervisor (CCS), and the Community Corrections Officers (CCOs). The position works Monday-Friday, 8:00 am to 5:00 pm. Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical experience that includes basic knowledge of Microsoft Office programs including Word, Outlook, and Excel.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases and a variety of computer platforms/applications.
  • Ability to proofread written material and identify and correct errors, grammar, and punctuation.
  • Ability to communicate effectively and clearly to staff, supervised individuals, stakeholders, and the public.

  • Two years of clerical experience that includes basic knowledge of Microsoft Office programs including Word, Outlook, and Excel.

Responsibilities

  • Provide general office/clerical support for the office.
  • Assist staff with paperwork, reports, schedules, and other day-to-day clerical tasks.
  • Greet and assist the public, visitors, and clients and refer to the appropriate staff.
  • Manage a multi-line phone system.
  • Maintain and manage electronic and physical files.
  • Enter and retrieve data from various systems, such as the Offender Management Network Information (OMNI) system and OnBase.
  • Prepare and send document search requests to various law enforcement agencies.
  • Assist with scheduling.
  • Independently compose, send, and respond to emails.
  • Process incoming/outgoing mail.
  • Other duties as assigned.
