About The Position

Join the Fraud Prevention Labor Standards Apprenticeship program as an Office Assistant 3! In this role, you’ll support enforcement of state and federal statutes related to registered apprenticeship, including the Washington State Apprenticeship Act, chapter 49.04 RCW; the National Apprenticeship Act, 29 U.S.C. 50; Apprenticeship Programs, Title 29 Part 29 CFR; and Equal Employment Opportunity in Apprenticeship and Training, Title 29 Part 30 CFR which govern employment and training in apprenticeable occupations. They are part of all Apprenticeship Agreements and bind signers to compliance with all provisions of Registered Apprenticeship. You’ll also support the goals of the Governor and the Department of Labor and Industries to expand Apprenticeship in the interest of developing demand-driven employment and training services for a highly-qualified and highly-skilled workforce.

Requirements

  • High School Diploma or equivalent.
  • Two years of clerical experience.
  • The ability to take action to learn and grow.
  • The ability to take action to meet the needs of others.

Nice To Haves

  • Knowledge of laws, rules, regulations and guidelines regarding the Washington State Registered Apprenticeship system.
  • Knowledge of: philosophy, theory, purposes, needs, standards and practices of on-the-job training; general background of employee and employer organizations; safety and health issues; educational systems of higher learning and high schools; principles, practices and values of labor relations, technical and vocational training programs.
  • Ability to: Cooperate as a team member for the good and welfare of registered apprenticeship in the state of Washington; secure and maintain effective working relationships with employer and labor organizations, Registered Apprenticeship Training Committees, apprentices, educational institutions, workforce development entities, and community, state and federal agencies, speak and write clearly; work independently.

Responsibilities

  • Maintain shared email box, responding or routing correspondence as appropriate.
  • Reviews documents for completeness, accuracy and compliance within office procedures and established protocols.
  • Answer phone calls using a professional and helpful demeanor.
  • Key data into ARTS and properly process forms.
  • Compose and edit correspondence, reviewing forms, content and consistency with Apprenticeship Section & Agency statute, rules and policies.
  • Email invite letters, action letters, program standards and action requests to registered apprenticeship programs and consultants.
  • Print, sort and assemble certificate of completions, completion letters and journey cards on a weekly basis.
  • Record received journey cards, mail to appropriate apprenticeship programs.
  • Follow up on returned items.
  • Track and print special requests.
  • Maintain established section electronic and manual filing systems.
  • Assist with processing Industrial Insurance payments and claims.
