About The Position

The Office Administrator is responsible for providing administrative and clerical support to the Plant Manager and plant. Primary duties will include and not be limited to: Welcomes visitors and potential employees, answer incoming calls, deal with inquiries or transfer to appropriate party. Maintains security by following procedures; logbook; issuing visitor badges. Processes plant payroll; responds to and resolves inquiries. Track time and attendance; alert leadership on matters of concern. Resolves payroll discrepancies by collecting and analyzing information. Receive and input daily incoming shipments into company software system. Create bill of lading, request Certifications and other documents needed for outbound shipments. Input daily production into company data base and update production logs. Collect, file, and maintain all inbound and outbound shipment and production files. Create shipments and schedule pick-up for Fed-Ex packages. Maintains safeguards and confidentiality with payroll, discipline, and employee files. Take minutes, notes, etc. for respective group meetings. Coordinate employee recognitions (i.e. luncheons, birthdays, anniversaries); Post events on company website. Ensures near miss and incident reports are completed and submitted in a timely manner. Provide administrative support for Plant Manager and all team members. Maintain an organized, clean and safe work area. Maintain office supply inventory, make orders as needed. Comply with all company policies and guidelines. Demonstrates the ability to work safely. Performs additional duties as assigned by the Plant Manager.

Requirements

  • 2 years or more of Office Administration or similar experience.
  • High school diploma or GED required.
  • Proficient in Microsoft Office 365 - Excel, Word, Outlook, PowerPoint, and Teams.
  • Highly organized and self-sufficient.
  • Ability to learn new software quickly.
  • Able to lift up to 15 lbs.

Nice To Haves

  • Prior experience with SAP a plus.
  • Degree a plus.
