About The Position

The Office Admin will play a key role in keeping our Mesa office organized, supported, and running smoothly. Working 25–30 hours per week, you will provide critical support across general administration, social media, business development (Biz Dev), fleet coordination, onboarding, and company events.

Requirements

  • 1–3 years of administrative, office support, or customer service experience preferred.
  • Familiarity with managing business social media profiles (Facebook, Instagram, LinkedIn) and basic graphic design tools (e.g., Canva).
  • Proficiency with standard office software (Microsoft Office/Google Workspace) and comfort learning new tracking tools (e.g., Luxor CRM).
  • Strong organizational skills with high attention to detail and ability to multi-task.
  • Clear, friendly, and professional verbal and written communication skills.
  • Ability to take initiative, prioritize tasks, and follow through on assignments with minimal supervision.
  • Dependable, punctual, and possesses a valid driver's license for occasional errands.

Responsibilities

  • Create and post engaging graphics and content across all official company social media platforms.
  • Design flyers and promotional materials for company and industry events.
  • Answer incoming calls and assist with general client and office inquiries.
  • Handle filing, organizing, scanning, and other routine office work.
  • Keep the office environment, common areas, and supply storage neat, tidy, and well-organized.
  • Run occasional errands as needed for office or operational needs.
  • Assist with miscellaneous administrative and Biz Dev projects as assigned.
  • Assist with new employee onboarding by compiling paperwork, preparing welcome materials, and helping set up new hires for success.
  • Process monthly commission reports accurately and on schedule.
  • Maintain and stock the breakroom and office supply areas.
  • Order office supplies, breakroom essentials, Biz Dev items, and food/catering for meetings or events as needed.
  • Assemble "plumber boxes" and promotional materials for the Biz Dev team.
  • Update and maintain information in Luxor (CRM/Biz Dev tracking).
  • Assist with basic fleet-related tasks and documentation.
  • Help plan, organize, and execute company and industry events, including RMR and MTCAZ events.
