About The Position

JLL is seeking an Occupancy Planner to join their Occupancy Planning and Management team. In this role, you will act as a subject matter expert in occupancy management, optimizing real estate utilization through data-driven strategies and technological expertise. You will manage clients' workplace needs, balancing capacity, demand, and supply while driving efficiency. Key responsibilities include forecasting space requirements, maximizing utilization, developing return-to-office solutions, and adapting to portfolio fluctuations. You will foster critical relationships with clients and stakeholders, establish effective communication channels, and manage diverse projects. Financial tracking and risk identification are also important aspects of this role. You will leverage CAFM systems and AutoCAD to execute complex projects, conduct utilization studies, and implement agile occupancy strategies. The ability to thrive in dynamic environments, balance multiple priorities, and deliver innovative solutions is crucial. A strategic mindset is needed to adapt to industry trends and ensure clients benefit from cutting-edge occupancy management practices.

Requirements

  • Advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations).
  • Proficiency in AutoCAD (basic test fits and square foot calculations).
  • Proficiency in Microsoft Office Suite.
  • Ability to consolidate data and floor plans into PowerPoint Presentations for clients.
  • Excellent communication skills—both written and spoken.
  • Strong interpersonal skills and ability to interact with executive-level external and internal clients.
  • Ability to work independently, multi-task, and manage time to meet deadlines.
  • Ability to reorganize daily schedule to deal with changing necessities and requests.

Responsibilities

  • Managing spaces, planning and managing portfolios, and maximizing space utilization.
  • Assisting clients in their migration plans and group and individual moves.
  • Preparing and updating project status reports on actual versus projected seat demand.
  • Reporting on current supply and capacity, and forecasting inventory changes.
  • Recommending and enforcing all policies, protocols, standards, and procedures to ensure alignment with regulations.
  • Assembling, updating, and reporting top-down and bottom-up seat count projections.
  • Getting familiar with space utilization methods and the presentation of utilization data.
  • Working closely with clients to reconcile discrepancies from top-down projections.
  • Tracking and reporting actual seat demand at the group level.
  • Fostering critical relationships between various individuals and organizations.
  • Ensuring coordination and collaboration among business units, especially facility management, for accurate growth projections.
  • Planning strategies that drive construction projects and support their implementation.
  • Conducting regular facility audits.
  • Demonstrating advanced project management skills, including prioritization of competing client projects and effective resource allocation.
  • Analyzing and managing occupancy data, utilizing CAFM systems and AutoCAD for space planning and benchmarking.
