About The Position

JLL is seeking an Occupancy Planner to join their Occupancy Planning and Management team. In this role, you will act as a subject matter expert in occupancy management, optimizing real estate utilization through data-driven strategies and technological expertise. You will manage clients' workplace needs, balancing capacity, demand, and supply while driving efficiency. Key responsibilities include forecasting space requirements, maximizing utilization, developing return-to-office solutions, and adapting to portfolio fluctuations. You will foster critical relationships with clients and stakeholders, ensure high-quality service delivery, manage diverse projects, and provide accurate project status reports. Financial tracking and risk identification are also crucial aspects of this role. You will leverage CAFM systems and AutoCAD to execute complex projects, conduct utilization studies, and implement agile occupancy strategies. A strategic mindset and the ability to adapt to industry trends are essential for ensuring clients benefit from cutting-edge occupancy management practices.

Requirements

  • Advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations).
  • Advanced skills in AutoCAD (basic test fits and square foot calculations).
  • Proficiency in Microsoft Office Suite.
  • Ability to consolidate data and floor plans into PowerPoint Presentations for clients.
  • Excellent communication skills—both written and spoken.
  • Strong interpersonal skills and ability to interact with executive-level external and internal clients.
  • Advanced project management skills.
  • Experience analyzing and managing occupancy data.
  • Experience utilizing CAFM systems and AutoCAD for space planning and benchmarking.
  • Ability to adapt to ambiguous environments, solve diverse problems, and manage daily operational challenges.
  • Experience executing utilization studies, managing multi-source data, and maintaining accurate space and people data.
  • Experience supporting workspace flexibility, including churn management and continuous optimization of assigned and unassigned spaces.
  • Must be proactive, able to work independently, multi-task, and manage time to meet deadlines.
  • Must be able to reorganize daily schedule to deal with changing necessities and requests.
  • Must be proactive and innovative in developing solutions with stakeholders and driving their implementation.

Responsibilities

  • Manage spaces, plan and manage portfolios, and maximize space utilization.
  • Assist clients in their migration plans and group and individual moves.
  • Prepare and update project status reports on actual versus projected seat demand.
  • Report on current supply and capacity, and forecast inventory changes.
  • Recommend and enforce all policies, protocols, standards, and procedures to ensure alignment with regulations.
  • Assemble, update, and report top-down and bottom-up seat count projections.
  • Become familiar with space utilization methods and the presentation of utilization data.
  • Work closely with clients to reconcile discrepancies from top-down projections.
  • Track and report actual seat demand at the group level.
  • Foster critical relationships between various individuals and organizations.
  • Ensure coordination and collaboration among business units, especially facility management, for accurate growth projections.
  • Plan strategies that drive construction projects and support their implementation.
  • Conduct regular facility audits.
  • Prioritize competing client projects and effective resource allocation.
  • Analyze and manage occupancy data, utilizing CAFM systems and AutoCAD for space planning and benchmarking.
  • Adapt to ambiguous environments, solve diverse problems, and manage daily operational challenges.
