About The Position

Under the direct supervision of the Clinical Lead, provides clinical, front-office, and administrative support to patients and providers. Performs Medical Assistant and Patient Services Representative duties to promote safe, efficient patient care and smooth clinic workflows.

Requirements

  • Knowledge of medical terminology, anatomy and physiology, infection prevention, medication administration, and standard Medical Assistant practices.
  • Competency in vital signs, patient preparation, specimen handling, injections, point-of-care testing, and electronic health record documentation.
  • Proficiency using Epic or another electronic health record, patient scheduling systems, Microsoft Outlook, Microsoft Office, and standard office equipment.
  • Strong customer service, teamwork, organizational, written, and verbal communication skills.
  • Ability to prioritize multiple tasks, respond calmly to changing needs, and complete work within established timeframes.
  • Ability to recognize duties outside the Medical Assistant scope of practice and escalate them to licensed clinical personnel.
  • Ability to follow UCSF Health Medical Foundation code of conduct, policies, HIPAA requirements, applicable laws, and safety standards.
  • Commitment to service excellence, continuous improvement, patient confidentiality, cultural sensitivity, and respectful collaboration.
  • High school diploma or equivalent required.
  • Graduate of an accredited Medical Assistant program that includes injectable medication training.
  • Nationally or California-certified Medical Assistant required; certification must be obtained within 90 days of hire if not held at the time of hire.
  • Current CPR/BLS certification from an approved agency and required infection control training.

Nice To Haves

  • Two years of Medical Assisting, specimen handling, or phlebotomy experience and bilingual Spanish skills preferred.

Responsibilities

  • Manage patient rooming and flow, including pre-visit preparation, vital signs, medication and allergy review, health maintenance review, and post-visit support.
  • Prepare patients and exam rooms for visits and procedures; assist clinicians within the Medical Assistant scope of practice.
  • Perform ordered clinical tasks, including specimen collection, point-of-care testing, medication administration, injections, and other validated procedures.
  • Document accurate patient information in the electronic health record and pend orders for clinician review as permitted by policy.
  • Support prescription refills, results, referrals, authorizations, callbacks, patient education, and care coordination under clinician direction.
  • Follow infection prevention, medication safety, PPE, sterile technique, biohazard, sharps, and equipment-cleaning requirements.
  • Register and check patients in and out; verify demographics and insurance; collect payments; and assist with billing or authorization issues.
  • Answer calls, schedule and confirm appointments, support MyChart inquiries, route messages, and communicate delays or schedule changes.
  • Process incoming records, laboratory results, faxes, and other documents promptly and accurately in Epic.
  • Maintain supplies, equipment, required logs, and a clean and safe work environment; promptly report workflow or safety concerns.
  • Provide professional, culturally responsive service and collaborate with clinicians, colleagues, patients, families, pharmacies, payers, and outside facilities.
