About The Position

The Nursing Staff Schedule Coordinator works collaboratively in a team structure to develop and publish complex schedules for departmental personnel. This role consults with Nursing leadership regarding workload analysis, staff plans, and optimal schedule builds, including complex schedule options and rotations to meet workload needs. The coordinator develops and maintains position control documents, staff bases, and posted employee schedules, while also providing direction regarding scheduling procedural guidelines. Responsibilities include auditing employee timekeeping records, pay rules, and FTEs, as well as protecting, managing, and reporting data within assigned scheduling applications. The position involves developing and implementing standard operating procedures for managing and auditing security to ensure data protection and appropriate handling. The coordinator elicits unit requirements for system parameter set-up, builds and maintains system parameters in scheduling software applications, performs routine application maintenance, processes data updates, and provides technical support for designated scheduling applications. Additionally, the role involves developing a Knowledge Base for supported scheduling applications for Help Desk reference, resolving ServiceNow tickets in a timely manner, developing and implementing scripts for application quality assurance testing, and writing and executing database queries using report writing tools to develop reports for dissemination. The position provides consultation with unit budgets and workload analysis for scheduling solutions to leadership within the Enterprise. The coordinator carries out all aspects of the job autonomously, using appropriate problem-solving skills and assuming responsibility for self-development within the role.

Requirements

  • Associates degree and two years of progressive experience in administrative support, preferably using UKG Workforce Timekeeping and scheduling applications, as well as staffing applications like LeanTaaS Predictive Staffing.
  • Administrative assistant/secretarial or Health Unit Coordinator and a minimum of five years progressive experience in administrative support, preferably using UKG Workforce Timekeeping and scheduling applications, as well as staffing applications like LeanTaaS Predictive Staffing.
  • Strong written and verbal communication skills.
  • Understanding of Position Control Management and unit budgets/FTEs.
  • Attention to detail.
  • Significant prior experience with spreadsheet and word processing software.
  • Effective verbal and written communication skills.
  • Ability to deal with continuous multiple and complex interpersonal interactions.
  • Demonstrated problem-solving and organizational skills.
  • Ability to work independently.
  • Ability to set priorities and meet deadlines within the context of highly variable workload and interruptions.
  • Ability to collect, organize, and synthesize detailed information from a variety of sources.

Nice To Haves

  • Prior experience with UKG Scheduling and/or LeanTaaS Predictive Staffing is preferred.
  • Mayo experience preferred.
