About The Position

This role is responsible for managing the nursing staff schedule, ensuring adequate coverage, and handling all related administrative tasks. The Nursing Staff Scheduler/Coordinator will receive and respond to various staff requests, prepare and maintain the master schedule, track employee hours, and analyze staffing needs to ensure compliance with PPD and ratio requirements.

Requirements

  • Ability to receive, respond, and communicate call outs, time off, holiday, and PTO requests.
  • Proficiency in preparing and posting nursing master schedules.
  • Skill in updating employee information in a timekeeping system.
  • Ability to track and verify employee hours, overtime, and call outs daily.
  • Capability to reconcile PPD and ratio per shift daily and ensure minimum PPD ratio.
  • Skill in performing daily staffing analysis and distributing allotted time.
  • Willingness to rearrange staff schedules for switches.
  • Ability to call staff to fill in for vacancies or callouts.
  • Skill in keeping and maintaining schedules/records in a neat and orderly manner.
  • Ability to analyze facility schedules to review and fill open shifts.
  • Skill in scheduling and coordinating on-call staff.

Responsibilities

  • Receives, responds to, and communicates call outs, time off, holiday, and PTO requests.
  • Prepares and posts the 4-week cycle nursing master schedules by updating employee information in the timekeeping system and saving on the shared drive.
  • Posts open shifts two weeks in advance.
  • Tracks and verifies all employee hours, overtime, and call outs daily.
  • Reconciles PPD and ratio per shift daily and ensures minimum PPD ratio.
  • Performs daily staffing analysis and distributes allotted time in appropriate categories by hours worked, escort hours, and in-service/education hours.
  • Rearranges staff schedules for switches to meet facility and staff needs, whenever possible.
  • Calls staff to fill in for vacancies or callouts on schedules.
  • Keeps and maintains all schedules/records in a neat and orderly manner.
  • Continuously analyzes facility schedules to review open shifts and fill shifts with facility staff or agency if approved.
  • Schedules and coordinates on-call staff to meet emergency staffing needs.
