Requirements

  • Associates degree and two years of progressive experience in administrative support, preferably using UKG Workforce Timekeeping and scheduling applications, as well as staffing applications like LeanTaaS Predictive Staffing.
  • Administrative assistant/secretarial or Health Unit Coordinator and a minimum of five years progressive experience in administrative support, preferably using UKG Workforce Timekeeping and scheduling applications, as well as staffing applications like LeanTaaS Predictive Staffing.
  • Significant prior experience with spreadsheet and word processing software.
  • Effective verbal and written communication skills.
  • Ability to deal with continuous multiple and complex interpersonal interactions.
  • Demonstrated problem-solving and organizational skills.
  • Ability to work independently.
  • Ability to set priorities and meet deadlines within the context of highly variable workload and interruptions.
  • Ability to collect, organize, and synthesize detailed information from a variety of sources.
  • Scheduling and staffing experience required using UKG and LeanTaas platforms.

Responsibilities

  • Develop and publish complex schedules for departmental personnel.
  • Consult with Nursing leadership regarding workload analysis, staff plans, and optimal schedule builds, including complex schedule options and rotations.
  • Develop and maintain position control documents, staff bases, and posted employee schedules.
  • Provide direction regarding scheduling procedural guidelines.
  • Audit employee timekeeping records, pay rules, and FTEs.
  • Protect, manage, and report data contained within assigned scheduling applications.
  • Develop and implement standard operating procedures for managing and auditing security to ensure data are protected and handled appropriately.
  • Elicit unit requirements for system parameter set-up.
  • Build and maintain system parameters in scheduling software applications.
  • Perform routine application maintenance and process data updates.
  • Provide technical support for designated scheduling applications.
  • Develop a Knowledge Base for supported scheduling applications to be used as references by the Help Desk.
  • Resolve ServiceNow tickets within a timely manner.
  • Develop and implement scripts for application quality assurance testing.
  • Write and execute database queries using report writing tools and develop reports for dissemination.
  • Provide consultation with unit budgets and workload analysis for scheduling solutions to leadership within the Enterprise.
  • Carry out all aspects of the job in an autonomous manner using appropriate problem-solving skills.
  • Assume the responsibility for self-development within the role.
