About The Position

This position is an integral member of the Music Department. It provides administrative and fiscal support for the day-to-day operations of the department. Working under the direction of the Department Manager, the position oversees many high-attention-to-detail tasks that require organization, accuracy, and timeliness. Major duties include working closely with students, staff, faculty, and the public regarding program content, policies, procedures, and activities; purchasing supplies and equipment for the Music Department and the Music Library; providing fiscal support for multiple budgets; assisting with travel arrangements for faculty, students, and contractors; assisting with coordination of department events; managing and training Music Office student employees; assisting with the search and hire process for all department student employees; managing student worker timekeeping process and approving all student employee timesheets; coordinating department key-checkout process, student locker assignments, and piano practice room reservations; and providing administrative assistance to the Department Manager.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of progressively responsible experience in office/clerical or general administrative work OR equivalent experience.
  • Demonstrated proficiency using Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint.
  • Experience working with PDFs.
  • Demonstrated experience with fiscal or budgeting processes in a business/office setting.
  • Demonstrated excellent written and interpersonal communication skills, including grammar, spelling, and proofreading skills.
  • Strong organizational and planning skills, with ability to follow tasks and projects through to completion.
  • Ability to work in an environment with frequent disruptions while generating high quality work with careful attention to detail.
  • Demonstrated ability to work independently, prioritize, and adhere to rigid deadlines for multiple tasks effectively and accurately.
  • Demonstrated ability to work effectively and collaboratively with diverse colleagues, students, constituents, and the public.

Nice To Haves

  • Knowledge or understanding of music programs of study and courses.
  • Knowledge of and experience working in a higher education institution.
  • Proficiency with Banner, Millenium FAST, and/or SAP Concur.
  • Experience supervising student employees.
