About The Position

WIN Warehouse equips nonprofit organizations with essential goods that enable them to serve their communities more effectively. By connecting nonprofits with donated products and resources, we help expand their reach, strengthen their programs, and increase their overall impact. WIN Warehouse is seeking a mission-driven and detail-oriented Member Services and Fulfillment Coordinator to serve as the primary point of contact for our nonprofit members. In this role, you will manage the full lifecycle of member orders—from initial consultation through fulfillment and delivery—ensuring a seamless and positive experience at every step. You will play a critical role in connecting organizations to the resources they need while coordinating and executing internal operations to deliver those resources efficiently and accurately. This position blends customer service, logistics coordination, and hands-on warehouse support, making it ideal for someone who enjoys both relationship-building and operational execution.

Requirements

  • Strong written and verbal communication skills
  • Excellent attention to detail and organizational ability
  • Strong computer skills, including Microsoft Office, Google Workspace, and email
  • Experience with shipping/receiving processes and basic shipping software
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously
  • Ability to lift and carry up to 70 lbs
  • Availability Monday–Friday, 8:30 AM–5:00 PM

Nice To Haves

  • At least 2 years of customer service experience
  • Experience with order management and/or inventory management systems
  • Willing to be trained on material handling equipment

Responsibilities

  • Serve as the primary point of contact for hundreds of nonprofit members
  • Guide members through the order process, from initial request to delivery
  • Enter and allocate orders using ecommerce and order management systems
  • Communicate proactively with members regarding order status, updates, and exceptions
  • Coordinate and assist with picking, packing, and shipping orders
  • Ensure quality and accuracy standards are upheld throughout fulfillment
  • Schedule and coordinate pickup and delivery appointments with members and logistics providers
  • Operate shipping software and support a variety of freight types, including small package, LTL, and full truckload
  • Oversee daily showroom operations, including stocking and merchandising products
  • Assist members at the showroom point-of-sale system
  • Maintain an organized, welcoming, and well-stocked environment
  • Report to the Vice President of Programs
  • Collaborate closely with the Warehouse Manager and Programs team
  • Support continuous improvement of processes to enhance efficiency and member experience
  • Cross-train and assist in other operational areas as needed
