About The Position

Virta Health is seeking a direct-mail operations contractor to provide temporary coverage within Member Growth Operations. This hands-on execution role keeps a high-volume acquisition channel accurate, on schedule, and coordinated across internal teams and external production partners. The contractor manages established direct-mail workflows from intake through in-home delivery, including campaign planning, data and creative readiness, proofing, approvals, vendor handoffs, production tracking, quality assurance, and issue resolution. Routine execution is handled independently in close partnership with Growth, Creative, Implementation, Analytics, and external vendors. The contractor will be embedded with the Member Growth Operations team for a defined period. Structured onboarding, recurring working sessions, and ongoing quality reviews are part of the engagement. After ramp-up, the contractor is expected to own routine execution, keep stakeholders informed, and promptly escalate risks. The role includes cross-functional planning, campaign status reviews, production and vendor check-ins, creative or content reviews, and focused working sessions with Implementation or data partners. The 90-day plan progresses from learning and shadowing Virta’s workflows during days 1–30, to primary execution ownership of assigned campaigns during days 31–60, and then full day-to-day ownership and transition planning during days 61–90. Success means campaigns and in-home milestones stay on schedule, quality checks are effective and documented, campaign records and forecasts are current, stakeholders and vendors receive clear handoffs and timely risk notices, and process knowledge is captured for a smooth end-of-contract transition. Virta is a remote-first company with office hubs in Denver and San Francisco. The role may involve contact with sensitive patient information governed by HIPAA; security and privacy procedures and training apply. Compensation is $60–$80 per hour, based on location, qualifications, and experience. Corporate roles are not hired in AK, DE, HI, ME, MS, OK, SD, or VT.

Requirements

  • At least 3 years of experience in marketing operations, print production, campaign operations, or a closely related field.
  • Demonstrated ownership of complex, deadline-driven campaigns involving multiple stakeholders and external vendors.
  • Exceptional attention to detail and a disciplined approach to quality assurance, documentation, and change control.
  • Ability to read audience requirements, reconcile counts, identify inconsistencies, and explain operational details to nontechnical partners.
  • Strong project management and communication skills, including clear escalation when risks or tradeoffs emerge.
  • Ability to ramp quickly into established systems and processes and exercise sound judgment with limited day-to-day direction.
  • Successfully designed and implemented repeatable AI-enabled workflows that address team bottlenecks and improve efficiency.
  • Ability to follow security and privacy procedures for sensitive patient information governed by HIPAA.

Nice To Haves

  • Experience with direct-mail platforms or production partners such as PostGrid, Cornerstone, or comparable tools and vendors.
  • Experience with Asana, Notion, Braze, or similar campaign-management and lifecycle-marketing systems.
  • Familiarity with healthcare, benefits, regulated communications, or client-specific eligibility and branding requirements.
  • Experience coordinating audience data, variable-content templates, testing, and print-production proofs.

Responsibilities

  • Own campaign execution from approved request through mail delivery, including timelines, dependencies, approvals, and status communication.
  • Coordinate high-volume quarterly and ad hoc mail programs across automated and manual production workflows.
  • Work with print and mailing vendors to confirm specifications, schedules, proofs, counts, postage, and in-home windows.
  • Perform quality assurance on copy, personalization, client-specific requirements, creative assets, URLs and QR codes, audience files, and production proofs.
  • Maintain campaign plans, forecasts, trackers, and documentation so stakeholders can see scope, timing, risks, and decisions.
  • Identify issues early, recommend practical solutions, and coordinate resolution when timelines or quality are at risk.
  • Support knowledge transfer before coverage begins and document work for a smooth transition at the end of the engagement.
  • Complete onboarding and learn direct-mail processes, systems, quality standards, client requirements, calendars, forecasts, vendor workflows, and approval paths.
  • Review active and upcoming campaigns, production lead times, documentation, and known risks; shadow the Direct Mail lead and complete guided campaign executions and QA reviews.
  • Build working relationships with Growth, Creative, Content, Implementation, Analytics, account partners, and direct-mail vendors.
  • Take primary ownership of assigned campaigns from intake through in-home delivery, managing audience inputs, proofs, production milestones, and vendor communication.
  • Maintain campaign trackers, forecasts, decision logs, and status updates; lead recurring campaign and vendor check-ins and escalate risks early.
  • Fully own day-to-day direct-mail operations for the assigned portfolio, balancing planned and ad hoc campaigns and managing production risks, vendor issues, changing requirements, and cross-functional dependencies.
  • Recommend practical improvements to documentation, handoffs, tracking, or quality assurance, and prepare a structured transition plan covering in-flight work, deadlines, vendor commitments, open decisions, and risks.
