About The Position

BCD Meetings & Events (BCD M&E) is seeking a Meeting Planner to join their dynamic team. This client-facing role involves acting as the event planning lead and project manager, collaborating with peers and vendors to ensure flawless event execution. Responsibilities include site selection, registration management, room setup and menu planning, onsite execution, and budget reconciliation. The ideal candidate will manage projects to stay on time and on budget, while expertly handling multiple priorities.

  • Providing a consultative approach to planning.
  • Managing timelines and effectively communicating timelines to clients and vendors.
  • Understanding contract language and negotiating with 3rd party vendors.
  • Following processes and procedures outlined by client.
  • Project management and solving problems.
  • Managing multiple priorities at once and being adaptable.
  • Calm under pressure and working well in a collaborative environment.
  • Establishing long lasting, professional relationships with clients, co-workers and vendors.
  • Technology and mastering new technology tools and systems.

Nice To Haves

  • A college degree from a 4- year institution.
  • The ability to travel regularly.
  • Technology experience.
  • 3+ years as a meeting planner in this industry.

Responsibilities

  • Act as the main point of contact for clients, ensuring clear communication and met milestones with a consultative approach.
  • Consult with clients during venue research to ensure strategic, targeted searches that meet client requirements.
  • Understand and effectively communicate all process and policies to clients.
  • Build, monitor, and maintain concise and accurate event budgets, identifying creative cost-saving ideas.
  • Negotiate vendor contracts and build long-lasting partnerships.
  • Partner with teammates to create clear attendee communications and registration websites, developing a well-timed and accurate communication plan.
  • Communicate effectively with hotel and vendor partners, managing hotel rooms, room sets, offsite events, ground transportation, and signage.
  • Utilize client systems, understanding and maintaining process and data integrity.
  • Ensure a positive and memorable experience for clients, attendees, and staff.
