Requirements

  • 2+ years of professional experience supporting meetings and events.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Excellent communication and interpersonal skills, with the confidence to work with clients, vendors, and teams across all levels of an organization.
  • Detail-oriented with the ability to produce accurate work and meet deadlines in a fast-paced environment.
  • Flexible and adaptable, with a positive attitude and the ability to navigate changing priorities.
  • Proficiency in Microsoft Office, including Word and Excel.
  • Strong problem-solving skills and a commitment to delivering exceptional customer and attendee experiences.
  • A collaborative team player who is professional, proactive, and eager to contribute to successful events.

Nice To Haves

  • Experience with event technology platforms such as Cvent, particularly attendee registration and event management tools, is a plus.

Responsibilities

  • Manage event registration and attendee communications, ensuring participants have a seamless experience before, during, and after each event.
  • Coordinate attendee logistics, including hotel accommodations, room blocks, transportation, VIP requests, speaker arrangements, and special accommodations.
  • Support the design, testing, and ongoing management of event registration websites and online attendee experiences using Cvent.
  • Create and distribute event communications and materials, including registration updates, FAQs, agendas, name badges, rooming lists, and event documentation.
  • Monitor registration, attendance, and housing data while producing reports and insights to help drive successful event outcomes.
  • Partner with clients, hotels, suppliers, and internal teams to ensure all event details are delivered accurately and on schedule.
  • Manage attendee-related financial processes, including registrations, refunds, supplier invoices, payment tracking, and event reconciliations.
  • Coordinate event materials, gifting programs, shipping logistics, and other operational needs to support successful program execution.
  • Participate in client and project meetings, providing updates, recommendations, and support throughout the planning lifecycle.
  • Support onsite event operations and contribute to process improvements, special projects, and other initiatives that enhance the attendee experience.
