This Ancillary Meeting Manager role puts you at the center of Life Sciences client work tied to Congresses, HCP engagement, and high-touch ancillary meetings. You’ll manage everything from planning and logistics to budgets, compliance, and client counseling in a fast-paced, highly regulated environment. Requirements

  • Managing ancillary meetings connected to Congresses from registration through execution, while keeping timelines, logistics, and deliverables moving smoothly
  • Working in a highly regulated, compliance-focused environment where documentation, accuracy, and audit readiness really matter
  • Coordinating attendee management, HCP invites, registrations, travel, and on-site details with strong attention to detail
  • Building solid client and vendor relationships, leading planning calls, and offering thoughtful guidance on best practices
  • Tracking budgets, reviewing billing, reconciling final costs, and communicating financial updates clearly throughout the planning process

Nice To Haves

  • A college degree
  • 3+ years of experience managing ancillary meetings in conjunction with Congresses
  • 2+ years of account or client management experience in a structured, deadline-driven setting
  • 2+ years of experience managing outside vendors, sourcing services, and negotiating contracts
  • Pharmaceutical industry experience, plus convention registration and international planning experience
