About The Position

The Medical Receptionist is responsible for supporting office operations and works independently and interdependently with other office staff to provide efficient, cost effective, quality patient care. This role involves promoting a healthy work environment, scheduling appointments, reviewing and updating schedules, collaborating with management, pre-registration, reviewing revenue reports, collecting co-pays, checking patients in and out, phone support, scanning and faxing documentation, and making confirmation calls. The position requires attention to detail, meeting performance measures, and working collaboratively with staff and management. Maintaining confidentiality, greeting visitors, answering telephones, and using appropriate diction and grammar are essential. The role also involves employing professional manners, tact, and calmness in all dealings, being customer service oriented, and adhering to hospital confidentiality statements. Service-specific skills include receiving and distributing messages, packages, and supplies, implementing day-to-day operations, and maintaining a safe and secure environment. Competency with PC terminals, telephones, copiers, e-mail systems, fax machines, and typewriters is expected.

Requirements

  • High school graduate or equivalent
  • One to two years’ experience preferred
  • Multi-line telephones, PC and appropriate software knowledge
  • Knowledge of office equipment and supplies
  • A solid understanding of service-related terminology
  • Good communication skills both oral and written
  • Good interpersonal skills required
  • Customer service orientated

Responsibilities

  • Promote a healthy work environment
  • Schedule appointments on provider schedules
  • Review schedules based on provider preference lists and update appropriately
  • Collaborate and communicate regularly with management regarding goals, needs/concerns
  • Pre-registration
  • Reviewing revenue reports to ensure charges are billed appropriately
  • Collect co pay/balances due for each patient
  • Checking in patients for appointments
  • Checking out patients for appointments
  • Phone support – Incoming and outgoing phone calls
  • Scanning and faxing documentation
  • Confirmation phone calls
  • Greets visitors and ensures that each person waits in comfort with definite expectations of either when and how they will be served.
  • Answers the telephone and routes calls to proper person. When personnel are unavailable for telephone calls, records and delivers messages.
  • Uses appropriate diction and grammar in conversations.
  • Obtains necessary information while remaining courteous about interruptions caused by other calls or events, models calmness.
  • Receives and distributes messages, packages and supplies to the appropriate person or place.
  • Implements the day-to-day operations of specific service or environment.
  • Maintains a safe and secure environment.
