About The Position

The Medical Office Associate I (MOA) at the AMG Specialty Call Center is responsible for accurately performing scheduling, insurance eligibility verification, and ensuring the collection of patient registration data. This role involves handling flexible work assignments based on daily priorities, adhering to established metrics and guidelines in a high-volume call environment.

Requirements

  • HS Diploma or equivalent
  • Knowledge of computerized scheduling & EMR system a plus

Nice To Haves

  • 1-3 years of prior experience in contact center space or front facing medical office space
  • Excellent verbal and written communication skills.
  • Individual must be customer and employees focused.
  • Must have demonstrated ability to multi-task.
  • Proficiency with Microsoft Office suite.

Responsibilities

  • Accurately handle incoming phone calls and SMS requests.
  • Perform patient registration and place outbound phone calls.
  • Schedule appointments for Atlantic Medical Group practices.
  • Ensure accurate and timely completion of inbound scheduling requests via fax or electronic work queues.
  • Indicate special patient needs (e.g., special accommodation, exam protocols, interpreter).
  • Promote patient portal usage and connect to registration resources.
  • Inform patients of upcoming appointments at the time of scheduling and assist with cancellations and rescheduling.
  • Triage and manage patient referrals to appropriate specialty practices.
  • Complete the patient’s Face sheet with necessary demographic/insurance information and forms to expedite check-in.
  • Maintain and update patient accounts for medical and financial eligibility, operating within Epic Work queues.
  • Coordinate with patients and physician practices to obtain missing information or update appointment status.
  • Perform real-time insurance verification and interpret responses.
  • Communicate insurance participation, financial responsibility, and time of service policy to patients.
  • Proactively solicit customer feedback.
  • Provide proactive and timely responses to internal and external customer needs and requests.
  • Support revenue cycle department policies, practices, and goals related to patient experience and quality outcomes.
  • Meet individual productivity and quality expectations.
  • Escalate cases as appropriate.
  • Report errors and mistakes found in the system to the direct supervisor.
  • Maintain knowledge of insurance requirements.
  • Complete all required trainings and participate in staff meetings and in-services.
