About The Position

GVO Partners is hiring a highly organized, execution-first Marketing Operations Assistant to support the Director of Marketing and coordinate activity across multiple practices. This role sits at the intersection of marketing operations, project coordination, and communication management . You’ll be the glue, the person who makes sure marketing tasks are executed, deadlines are met, and teams stay aligned. This is not a creative or strategy role. You’ll own tracking, follow-ups, and accountability across multiple initiatives using monday.com as the single source of truth. Requirements

  • monday.com – strong working proficiency (boards, task tracking, updates)
  • Google Workspace – Docs, Sheets, Drive organization
  • Slack / Email – professional communication and follow-ups
  • CRM systems – familiarity (GoHighLevel preferred)
  • Spreadsheets – basic tracking and reporting
  • Canva – basic asset handling and organization
  • Remote collaboration tools (Zoom, Google Meet)
  • Exceptionally organized and detail-oriented
  • Strong written communication skills
  • Proactive with follow-ups and task ownership
  • Able to manage multiple stakeholders and priorities
  • High sense of urgency and accountability
  • Comfortable working independently with minimal supervision
  • Comfortable supporting a U.S.-based team
  • Must overlap with EST working hours (2-3 hours daily)
  • Monday to Friday, standard business hours

Nice To Haves

  • Experience in marketing coordination or agency environments
  • Experience supporting multi-location or multi-brand businesses
  • Familiarity with campaign setup and email marketing tools
  • Experience with process improvement or workflow optimization

Responsibilities

  • Own and manage monday.com marketing boards, timelines, and task workflows
  • Track campaign execution across teams and ensure deadlines are met
  • Proactively follow up on outstanding tasks with internal teams and vendors
  • Identify delays, blockers, or gaps and flag them early
  • Manage and organize marketing-related email communication
  • Draft responses, categorize requests, and ensure timely follow-ups
  • Coordinate across marketing managers, agency partners, and internal stakeholders
  • Act as the central hub for marketing requests and task intake
  • Assist with CRM (GoHighLevel) automations and campaign setup
  • Support email scheduling and marketing workflows
  • Help ensure campaigns are launched accurately and on time
  • Support weekly marketing reporting and performance summaries
  • Track task completion rates and overdue items
  • Maintain visibility across all marketing initiatives
  • Ensure clear ownership and accountability across projects
  • Organize marketing assets across Google Drive, Canva, and internal systems
  • Take meeting notes and translate them into clear action items
  • Maintain clean, structured workflows across all marketing operations
