About The Position

The Marketing Executive Admin./ Project Coordinator shall perform executive clerical and administrative duties at the highest-level providing support and project coordination to the Chief Marketing Officer, Director of Marketing and Director of Player Development.

Requirements

  • Must be 21 years of age, or older.
  • High School Diploma or equivalent, required.
  • Minimum of 2 years’ experience working in executive administrative capacity required.
  • Proficient in Microsoft applications such as Word, Excel, PowerPoint, Outlook and other computer applications such as Red Rock Purchasing and Kronos, required.
  • Must be able to perform mathematical calculations, budgeting and spreadsheet formulas.
  • Must possess excellent organizational skills.
  • Must possess excellent verbal and written communication skills in order to promote positive and professional image.
  • Any combination of education, experience and training that provides the required knowledge, skills and abilities.
  • Must be able to provide evidence of eligibility to work in the United States of America.
  • Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license.
  • Required to submit to and obtain negative results on all drug and/or alcohol testing.

Nice To Haves

  • A.A. Degree in Business Administration or equivalent preferred.
  • Prior experience working in a Marketing Administrative capacity, preferred.

Responsibilities

  • Directly assist with special projects, property events and promotions calendars and other projects as assigned.
  • Control and record employee payroll on proper forms and in Kronos.
  • Enter Requisitions into Red Rock Purchasing Program.
  • Assist with the monthly TCR updates and the process for all Marketing Action Items.
  • Write or revise all Marketing Department contracts according to pre-approved templates, and prepare for final review by the Tribe’s legal counsel.
  • Prepare, submit, monitor progress and track all contracts and Action Items for Tribal Council approvals and signatures.
  • Prepare, submit, monitor progress and track all STGC submissions and notifications.
  • Apply and facilitates effective communication via email, memo, presentation, between the Marketing department and other departments. Apply positive communication, interpersonal, and leadership skills with guests, (internal and external), at all times.
  • Assist CMO with developing Excel spread sheets and other reports to analyze marketing data.
  • Assist CMO with the preparation of Power Point presentations.
  • Prepare and type correspondence, reports, forms, charts and graphs as necessary.
  • Coordinate monthly detail of outdoor advertising invoices and contracts including billboards and work with Accounts Payable on accruals.
  • Keep all annual reports and pertinent information designed for auditing support.
  • Works with Accounts Payable on all invoicing in regards to Media buys, unless a recognized Marketing Agent of Record is contracted to do so.
  • Place, accept and screen telephone calls.
  • Organize and maintain files, records, correspondence and reports, eliminating duplication whenever possible and maintaining timeliness of filing.
  • Maintain confidentiality of proprietary information; protect company assets at all times.
  • Develop and maintain positive working relationships with others; support admins to reach common goals.
  • Order, distribute, and monitor all supplies.
  • Handle memo distribution and photocopying for department.
  • Must be physically present to work a regular, reliable, and predictable work schedule in accordance with business demands, and maintain a consistent and regular attendance record.
  • Perform special projects and other responsibilities, tasks, or duties as requested.
