Maintenance Coordination

Diligent Robotics•Austin, TX

About The Position

This role supports the maintenance and materials operations that keep Moxi robots in service at hospitals. At HQ, the position divides its time roughly equally between maintenance planning and spares-depot work. The planning portion involves maintaining preventive maintenance schedules across the fleet, preparing and tracking work orders, and closing them after field work is completed. The depot portion involves receiving and managing inventory, preparing and shipping parts kits, and processing failed parts for repair or return. The role coordinates regularly with field technicians and reports to the Tech Ops Manager for other assigned duties.

Requirements

  • At least 2 years of experience in a storeroom, parts crib, warehouse, inventory control, or maintenance support role.
  • Hands-on experience with an inventory or work-order system such as a CMMS, ERP, or WMS, including creating records, issuing parts, and closing transactions.
  • Mechanical and electrical literacy sufficient to read a bill of materials, identify components, and discuss a job with a technician.
  • Strong attention to detail and a habit of keeping records accurate without being asked.
  • Comfort with spreadsheets, including sorting, filtering, and basic formulas, and written communication over email and Slack.
  • Ability to lift up to 50 lb, stand and walk for extended periods, and safely handle packaged robot subassemblies.
  • Authorization to work in the United States.
  • Ability to work on-site at HQ five days a week.

Nice To Haves

  • Exposure to maintenance planning or scheduling, or a desire to grow into it.
  • Experience shipping and receiving with carriers such as UPS, FedEx, or freight carriers, and handling RMAs with vendors.
  • Experience in robotics, medical devices, industrial equipment, or another field-serviced hardware fleet.
  • Associate degree or technical certificate in a related field.

Responsibilities

  • Maintain the preventive maintenance schedule by robot and site; generate PM work orders on cadence and adjust schedules when field availability or site access changes.
  • Scope work orders with steps, estimated labor, required parts and tools, and site-specific access notes.
  • Build the parts and tool list for each scheduled job and confirm availability before releasing the job.
  • Track open, in-progress, and overdue work orders, and flag jobs at risk of slipping to the Tech Ops lead.
  • Keep work-order templates, part numbers, and bills of materials current as hardware revisions roll out.
  • Receive, inspect, and put away incoming parts and consumables; reconcile shipments against purchase orders.
  • Maintain accurate on-hand inventory counts, conduct scheduled cycle counts, and investigate variances.
  • Set and maintain stocked-spares min/max levels with the Tech Ops lead and raise reorder requests before stockouts.
  • Kit parts and tools for scheduled work and ship them to sites or field technicians with tracking and documentation.
  • Process returns by logging failed parts, initiating vendor RMAs, routing units to repair or scrap, and updating inventory.
  • Keep the depot organized, labeled, and safe, and maintain ESD and handling practices for electronic assemblies.
  • Flag slow-moving and obsolete stock for review.
  • Coordinate daily with field technicians about what they need and when.
  • Perform other duties as assigned by the Tech Ops Manager.
