About The Position

Hot Topic is seeking a Licensing Coordinator to provide administrative support to its in-house Licensing Team. The coordinator works alongside the Licensing Specialist and communicates and follows up with internal teams and external licensing partners. The position follows a hybrid schedule and requires working at the company’s headquarters in the City of Industry, California, three days per week.

Requirements

• Bachelor’s degree preferred, or relevant experience.
• Familiarity with heavy data entry.
• Strong attention to detail for compliance and audit purposes.
• Strong organization and ability to manage multiple projects with varied deadlines.
• Excellent time management skills to prioritize and complete projects on time.
• Strong follow-through.
• Proven communication skills; articulate and professional in written and verbal communication.
• Ability to work proactively, independently, and reliably under tight timeframes in a fast-paced environment.
• Regularly required to sit and stand.
• Occasionally lift or move samples weighing up to 10 pounds.

Responsibilities

• Oversee the licensed product process from concept through distribution for multiple licenses.
• Photograph and ship samples.
• Track compliance with contractual requirements in coordination with the Licensing Specialist.
• Monitor contract status from negotiation through execution.
• Coordinate and maintain accurate product tracking sheets, licensor submission portals, royalty reports, sales reports, and SKU setup.
• Serve as the main internal contact for communication about contractual rights and obligations.
• Attend internal and external meetings and respond to follow-ups as needed.
• Act as the point person for licensor requests, communicate key issues, and work to resolve potential issues.
• Perform other duties as assigned.
