About The Position

We are seeking a detail-oriented and organized Leasing Administrator to play a central role in supporting the day-to-day operations of the leasing department. Reporting to the Regional Manager, this role is responsible for processing rental applications, coordinating appointments, managing leasing documentation, and maintaining accurate leasing records. The Leasing Administrator works closely with the Leasing Agents, prospective clients and Operations team to ensure a professional, efficient, and compliant leasing experience for all prospects and new residents. The base salary range for this position is from $40,000 - $46,000 annually. The starting base salary may vary based on job-related knowledge, role complexity, skills, experience, and internal equity, with opportunities for progression within the range as team members grow and develop in their roles.

Requirements

  • Diploma or certificate in business, real estate, or administration (or equivalent experience) is required.
  • A minimum of 2 years experience in a leasing, property administration, or related support role.
  • Familiarity with lease terms, property management software (preferably Building Stack), human rights legislation, Ontario Lease, and Residential Tenancies Act (RTA).
  • Professional demeanor, proactive mindset, and ability to work independently and collaboratively.
  • Ability to multitask, prioritize, and thrive in a fast-paced, deadline-driven environment while working independently and collaboratively.
  • Strong attention to detail and accuracy in data and document management.
  • Excellent organizational and time-management skills.
  • Effective and clear verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Reliability and discretion in handling sensitive tenant and lease information.
  • The successful candidate must be eligible to work in Canada and will be required to pass a criminal background check.

Responsibilities

  • Schedule property tours, lease signings, and timely follow-ups to ensure a smooth process.
  • Review rental applications, collect and validate required documents (e.g., recent paystubs, ID and references), complete background and credit checks.
  • Prepare and process lease agreements with accuracy and compliance.
  • Coordinate lease signings and welcome packages.
  • Maintain accurate tenant data and lease files in property management systems (e.g., Building Stack, SharePoint).
  • Track key dates such as lease expirations, move-ins/outs, and rental rates, generating regular activity reports including leasing activity, occupancy and document accuracy.
  • Provide administrative support for leasing team meeting, including scheduling, minute-taking and follow-up on action items.
  • Support leasing events, open houses, and marketing activities.
  • Assist in responding to prospective leads and track all inquiries in a diligent manner.
  • Conduct periodic audits of lease files and ensure confidentiality of resident information.
  • Perform other duties as assigned by the Regional Manager.
