About The Position

We are seeking an engaging and detail-oriented Residential Leasing Administrator to support and improve our residential leasing initiatives, verify rental application and leasing compliance for accuracy, and manage the development and deployment of marketing across our portfolio of multifamily housing. This multifaceted position will also be responsible for providing administrative and leasing support on-site across the portfolio to provide needed staffing coverage as assigned by Senior Regional Manager. This role will play a key part in promoting our brand, enhancing online reputation and presentation, and ensuring the success and consistent implementation of all company leasing policies. The Residential Leasing Administrator reports directly to company Senior Regional Manager. The ideal candidate for this position will thrive on creativity and organization and embrace a fast-paced and evolving environment.

Requirements

  • 3+ years of experience in marketing and/or a leasing management role.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office, Adobe Creative Suite, and marketing tools (e.g, Canva, website design, social media).
  • Ability to multitask and thrive in a fast-paced environment.

Nice To Haves

  • Active Pennsylvania Real Estate – Salesperson or brokerage license is preferred but not required. If unlicensed, Candidate will be required to secure Real Estate Licensure under a scheduled provided by Supervisor. Company provides License expense reimbursement once license obtained.
  • Bachelor's degree in Marketing, Communications, Public Relations, property management, or a related field is preferred.
  • Familiarity with appfolio is a plus
  • Familiarity with Blue Moon Lease Forms is a plus

Responsibilities

  • Assist in the development and execution of marketing campaigns across digital, print, and social media platforms.
  • Coordinate the production of marketing materials including flyers, brochures, email newsletters, and promotional content.
  • Monitor property level social media platforms and create consistent engaging content.
  • Track and report on marketing performance metrics (e.g., email open rates, campaign ROI, website traffic) to Regional Managers on a weekly basis.
  • Assist Regional Managers in managing ILS and SEO contracts for properties within the portfolio, including Google Ads campaigns.
  • Source and present new marketing platforms and trends to help best drive leasing activity and sustain heightened occupancy.
  • Maintain brand consistency across all channels and materials, using the correct colors, logos, and fonts for property identity.
  • Assist in ensuring the timely quarterly delivery of market surveys and accurate presentation of market data.
  • Manage property websites ensuring up to date and accurate content and correct unit availability.
  • Order physical leasing collateral as needed.
  • Research, recommend, and effectuate improvements in marketing across Company multifamily portfolio to ensure consistent leasing activity and sustained occupancy targets.
  • Audit, process, and approve company rental applications based on company policies and procedures and within all Federal Fair Housing requirements.
  • Manage and expedite tenant renewal responses and lease executions to ensure timely and efficient processing.
  • Spearhead lead generation responses and ensure timely responses and consistent quality engagements for all leasing inquiries.
  • Audit and supervise due dates for all Tenant renewal responses, and renewal lease execution
  • Provide ongoing support to Property Teams for move in and renewal gifts within the annual budget restrictions.
  • Draft and finalize lease documents as needed, collaborating with Property Management staff to ensure lease documents are completed accurately and submitted on schedule for move ins and renewals.
  • Update property blue moon lease settings and lease terms as needed and as approved by Regional Manager.
  • Be willing to work in different properties offices within the Pittsburgh and Monroeville area, either at a property assigned by a Regional Manager or in downtown headquarters location. Office coverage as assigned by Regional Manager on an as needed basis.
  • Assist with apartment tours with prospective renters on an as needed basis as assigned by a Regional Manager
  • Saturday hours as needed and assigned by a Regional Manager for leasing office coverage
  • Other duties and responsibilities will be assigned.
