About The Position

Navitus Health Solutions is seeking a Lead, Event Operations to join our team! The Lead, Event Operations is responsible for the end-to-end planning, coordination, and execution of events and brand building conferences across the calendar year. This role leads the development and delivery of comprehensive conference and event plans and execution strategies, including securing exhibit, meeting, and event space, coordinating booth property design, logistics and shipping, ensuring access to event materials (e.g., brochures, briefing materials, signage.), developing and overseeing event staffing plans; producing post-event and after-action reports, and providing overall logistical support to ensure successful, high-quality event execution. The Lead, Event Operations is also responsible for evaluating, recommending, and managing sponsorships and symposium opportunities in partnership with internal stakeholders to advance business objectives. The position holds accountability for forecasting, managing, and optimizing an annual conference budget while consistently delivering on time and within approved financial parameters. Regularly interact with C‑suite executives and cross‑functional leaders to support planning, execution, and alignment of event initiatives, exercising sound judgment to make decisions within established guidelines and resolve issues using standard and recognized operating methods.

Requirements

  • Bachelor’s degree in Communications, Marketing, or a related field, or equivalent work experience required.
  • 5+ years of progressive experience planning, coordinating, and executing corporate conferences, trade shows, and large-scale events, including in-person, hybrid, and virtual formats required.
  • Demonstrated experience owning end‑to‑end event execution, from strategic planning and pre‑event alignment through onsite delivery and post‑event evaluation required.
  • Proven experience managing multiple concurrent events across an annual calendar, balancing competing priorities, timelines, and stakeholders required.
  • Demonstrated experience developing and managing event budgets, including forecasting, expense tracking, vendor negotiation, and delivering events within approved financial parameters required.
  • Demonstrated experience managing event plans and execution documentation, such as run-of-show schedules, logistics plans, booth management, vendor support, onsite playbooks, and post-event reporting required.
  • Proven ability to analyze event performance and ROI, including defining metrics, evaluating engagement and outcomes, and applying insights to improve future events.

  • Experience staying current with industry trends, tools, and best practices and applying innovative approaches to enhance attendee and stakeholder experience preferred.
  • Experience with HubSpot or other marketing automation tools preferred.

Responsibilities

  • Own end-to-end execution strategy and logistical for in-person, hybrid, and virtual conferences and events, ensuring alignment with brand and business objectives.
  • Develop event-specific plans that define key messages, exhibit design and layout, digital content strategy, audience engagement concepts, and high value sponsorship or advertising opportunities, while leading pre-event planning to ensure stakeholder and customer alignment.
  • Provide overall direction and oversight of all conference and event logistics, including budgeting, venue booking, food and beverage, branding and signage, content development, event production, supply ordering, audiovisual coordination, travel logistics, conference materials, and security.
  • Create and maintain detailed event execution documentation, including run-of-show schedules, logistics guides, and onsite playbooks, and ensure timely communication and alignment with internal teams supporting or attending events.
  • Oversee the development and management of event registration platforms, landing pages, and related communications in accordance with corporate branding standards.
  • Manage financial performance for assigned conferences and events by forecasting, tracking, and controlling expenses applying negotiation, budgeting, and vendor management practices to optimize spend and maximize value.
  • Lead strong cross-functional and external partnerships by establishing planning cadences with internal stakeholders and external partners to define conference objectives, experience criteria, and execution strategies that supports business priorities and stakeholder goals.
  • Own post-event tasks, including expense reconciliation, event evaluation, and reporting of results, insights, and recommendations.
  • Define, track, and report on key performance metrics for each conference or event, including attendee feedback and surveys, engagement and participation data, and effectiveness measures and ROI, using insights to drive continuous improvement inform future events planning.
  • Implement industry trends and bring new resources, tools, and ideas to team to continuously improve and elevate the attendee/stakeholder experience and strengthen the overall event strategy.
