About The Position

ProHealth Care Laboratory Services is seeking a Lab Services Coordinator to oversee and monitor the daily operations of the Client Support Services and Phlebotomy Departments. This role involves managing client services, specimen processing, nursing home phlebotomy, send-outs, microbiology set-ups, and courier services. The coordinator will also be responsible for coordinating workflow, developing schedules, serving as a staff resource, and addressing customer concerns. The position requires flexibility to work at various ProHealth Care Lab locations as needed and includes an every-other-weekend on-call rotation. ProHealth Care operates a system-wide laboratory with core hospital labs and clinic-based sites, performing over 8 million tests annually. Our state-of-the-art facilities cover a wide range of clinical testing, and we have a robust outreach program serving various healthcare facilities. Our team collaborates closely with Pathologists and PhDs to ensure quality and implement new technology. The Laboratory holds certifications and accreditations from CAP, AABB, and CLIA.

Requirements

  • High School Diploma or equivalent
  • Two years of relevant experience preferred
  • ASCP or AMT certified as a Phlebotomist, Medical Laboratory Technician or Clinical Laboratory Technician or equivalent or eligible preferred
  • Ability to work at various PHC Lab locations as needed.
  • Weekend on-call rotation required.

Responsibilities

  • Accountable for overseeing and monitoring the daily operations of the Client Support Services and / or Phlebotomy Departments of ProHealth Care Laboratories.
  • Coordinate client services, specimen processing, nursing home phlebotomy, inpatient/outpatient phlebotomy, send-outs, microbiology set-ups, and courier services.
  • Coordinate, assess, and adjust workflow, develop and maintain schedules, serve as a resource to staff, and assist in addressing customer concerns.
  • Perform duties when unable to fulfill minimum staffing expectations.
  • Coordinate the efforts and daily operations of client services, inpatient, outpatient, and / or nursing home phlebotomy, specimen processing, microbiology set-ups, send-outs, and courier staff, ensuring adequate staffing.
  • Review and update all relevant policies and procedures to ensure adherence with all regulatory agencies.
  • Develop and review training documentation and ongoing competency assessments.
  • Assure all policies and procedures are adhered to, including assuring a culture of patient safety.
  • Collaborate with department Supervisor in orientation programs for new staff.
  • Coordinate education / competency assessments to ensure continuous staff development and compliance with accrediting agencies.
  • Assure effective intra- and interdepartmental communication, between shifts with staff, Supervisor, and Manager regarding workflow, specimen processing, and customer issues.
  • Identify workflow inefficiencies and work in partnership with management to resolve.
  • Investigate and assist in troubleshooting problems, and assure appropriate communication with customers.
  • Investigate errors, safety issues, and "near misses" and participate in the identification and implementation of corrective action.
  • Serve as a liaison and resource to the technical laboratory staff, including collaborative problem-solving related to specimen collection, processing, packaging, result reporting, and courier activities.
  • Ensure that the collection and entering of patient and provider information follows established procedures/standards.
  • Perform the duties of a scheduled staff member “on the bench” up to 90%+ of the time per pay period.
  • Coordinate ordering and distribution of supplies using Lawson and / or other electronic systems for internal department needs, for Outreach (non-PHC) Clients, and as needed for PHMG Clinics.
  • Review and verify timecards for accuracy.
  • Edit timecards as necessary with Supervisor oversight.
  • Enter department schedules in Kronos as needed.
  • Communicate regularly with Supervisor regarding equipment, general workflow and staffing activities.
