About The Position

Under the supervision of a Court Administrator or designated supervisor, performs a variety of tasks in support of the judicial and administrative functions of the assigned court. Duties include, but are not limited to, assisting individuals in person and over the phone, processing/distributing court documents, entering case information into the automated case management system, processing outgoing mail, compiling the daily court docket and pulling related case files, maintaining case files, posting payments received and other support functions.

Requirements

  • High school diploma or equivalent and two years of progressively more responsible experience in providing clerical and administrative support.
  • Ability to learn the principles and practices of general office procedures and local, state, and federal laws, rules and regulations governing the operations of the assigned court.
  • Ability to learn applicable law and court procedures and practices.
  • Knowledge and skill in maintaining accurate electronic records and providing customer service.
  • Skill in assembling data, and performing required filing and notifications.
  • Skill in effectively communicating ideas and concepts orally and in writing.
  • Ability to maintain strict confidentiality in regard to court files and procedures.
  • Demonstrated ability to maintain professional integrity and respect for those requiring court services including the ability to effectively meet and deal with the public.
  • Ability to establish effective working relationships and use good judgment, initiative and resourcefulness when dealing with County employees, contractors to the county, representatives of other governmental units, professional contacts, elected officials, children and families and the public.
  • Skill in the use of office equipment and technology, including Microsoft Suite applications, database entry and the ability to learn new software programs applicable to the position.

Responsibilities

  • Responds to telephone callers and greets visitors, responds to general inquiries, provides scheduling information, looks up file information, initiates any needed paperwork/documentation and/or directs inquiries to the proper individual or agency.
  • Receives, records, and files legal documents related to the assigned court's proceedings and enters documents to the automated case management system.
  • Assists in maintaining case files and ensures that files are ready for court action as scheduled.
  • Assists with copying and distribution of paperwork after hearings.
  • Receives documents, maintains hearing schedules and coordinates procedures with external agencies, other courts, attorneys, and other interested parties.
  • Conducts database searches to ensure accurate and up-to-date information.
  • Distributes weekly calendars and enters file information on automated scheduler for recording of hearings.
  • Receipts monies and is responsible for bookkeeping procedures associated with receipting, depositing, and transmittal of monies.
  • Types materials, such as receipts, forms, and correspondence.
  • Processes outgoing mail.
  • Prepares files for retention as required and shreds files as appropriate.
  • Scans files.
  • Uses microfilm machine to look up older documents.
  • Orders office supplies.
  • Maintains the function and supply orders of office machines such as printers and copiers.
  • May serve as a back-up court recorder.
  • Performs any other task assigned by the supervisor in the assigned court.
  • Performs other duties as directed.
