About The Position

Under limited supervision, provides administrative support to the Hamilton County Juvenile Court in the management of court records and electronic client case files, including assisting parties, attorneys, various local and state agencies, and magistrates with the administration and resolution of client legal matters. This role involves performing independent legal support services, ensuring procedural accuracy, creating and maintaining records in a digitized system, scheduling cases, issuing legal process, answering complex questions, conducting research, and coordinating with other agencies. Specific duties may include processing petitions, managing case files, and serving as back-up to the Cashier. The Cashier function involves bookkeeping, receipting and dispersing funds, maintaining accounting databases, reconciling financial records, and managing child support payments.

Requirements

  • Knowledge of applicable State of Tennessee statutes, rules, administrative orders, local policies and procedures, and Federal rules and regulations.
  • Knowledge of legal terminology and the forms and documents used in legal administrative work.
  • Knowledge of legal procedures and practices involved in processing and filing a variety of legal documents.
  • Knowledge of standard legal references and their contents.
  • Strong understanding of modern office procedures, methods, and computer equipment, including database management and document scanning.
  • Knowledge of the principles and practices of record keeping, bookkeeping, case-flow management, and office operations.
  • Knowledge of laws relating to juveniles and child support.
  • Knowledge of and experience in Microsoft Office software, including Word, Excel, Outlook, etc.
  • Skill communicating in both oral and written form.
  • Skill in establishing and maintaining effective working relationships.
  • Ability to work independently.
  • Must type a minimum of at least forty (40) words per minute.
  • A typing test may be required.
  • Must be available to work overtime as required.
  • Must be able to qualify to serve as a Notary Public.
  • Must possess a valid driver’s license.

Nice To Haves

  • Fluency in English, Spanish, and/or another language is preferred.
  • Work experience and/or familiarity with AI is preferred.

Responsibilities

  • Provides administrative support to the Juvenile Court in managing court records and electronic client case files.
  • Assists parties, attorneys, agencies, and magistrates with legal matters.
  • Performs independent legal support services for Juvenile Court users.
  • Ensures procedural accuracy in the receipt of legal pleadings.
  • Assists pro se parties and attorneys and determines appropriate filing fees.
  • Creates and maintains records in a fully digitized case file data management system and digital images.
  • Schedules cases for hearing on electronic court calendar.
  • Issues necessary legal process and updates rule docket recording system.
  • Answers complex questions and assists users in person, in writing, and telephonically.
  • Conducts research into the legal record and associated sources.
  • Works closely with other state and local agencies to coordinate services.
  • Imports data electronically from other entities into the database and manages database updates.
  • Receives and processes all petitions filed by the State of Tennessee, Attorneys, and Pro Se litigants (Petition Clerk role).
  • Ensures new information entered into the case file database and digital image database is accurate and updated properly (Petition Clerk role).
  • Manages the request, receipt, and digital scanning of older paper-based case files from offsite record warehouse (Petition Clerk role).
  • Serves as back-up to the Cashier and performs those duties when necessary (Petition Clerk role).
  • Provides bookkeeping functions for the office, including receipting and dispersing funds (Cashier role).
  • Maintains the accounting database for payment records (Cashier role).
  • Reconciles financial records and compiles monthly reimbursement requests for billing to the State (Cashier role).
  • Sends payment requests on unpaid accounts and monitors payment history (Cashier role).
  • Updates and maintains the State database for child support payments made on-site (Cashier role).
