Requirements

  • Bilingual (English & French - written and spoken)
  • Strong organizational skills with attention to detail

Responsibilities

  • Maintain a well-stocked and organized office (snacks, coffee, supplies, toiletries)
  • Oversee coffee machine maintenance (refilling, descaling, coordinating servicing)
  • Handle incoming/outgoing mail, deliveries, and courier services
  • Coordinate with building management for cleaning, maintenance, and general upkeep
  • Ensure kitchens and bathrooms are fully stocked and maintained
  • Maintain overall office cleanliness between scheduled cleaning services
  • Manage relationships with vendors (cleaning, office supplies, etc.)
  • Coordinate services such as weekend cleaning and plant maintenance
  • Assist in tracking invoices and supporting contract renewals
  • Troubleshoot and coordinate resolution of facility issues (plumbing, maintenance)
  • Support onboarding by preparing desks and facilitating office access
  • Manage desk assignments, seating plans, and parking logistics
  • Act as the go-to person for office-related questions and support
  • Help create a welcoming and positive office environment
  • Assist with organizing team events, celebrations, and office activities
  • Coordinate meetings (room setup, AV, logistics)
  • Support birthday celebrations, anniversaries, and internal initiatives
  • Help manage event logistics, vendors, and budgets
  • Assist with internal documentation updates and employee records
  • Assist with basic IT coordination and equipment tracking (laptops, accessories)
  • Provide translation support (English/French) when required
