Requirements

  • 2–5 years of experience in project coordination, IT support, operations, or procurement-related roles.
  • Basic understanding of project management principles (Agile, Scrum, or traditional project management).
  • Familiarity with IT environments, including support, infrastructure, or software development lifecycles.
  • Experience with procurement processes, vendor coordination, or invoice reconciliation preferred.
  • Exposure to IT service management (ITSM) tools (e.g., ManageEngine, ServiceNow, Zendesk) is a plus.
  • Associate or Bachelor’s degree in Business, Information Technology, or a related field, or equivalent work experience.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Ability to track and manage project plans, financials, and task execution.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Excel for tracking, reporting, and reconciliation.
  • Ability to facilitate meetings and drive follow-through on action items.
  • Ability to work in a fast-paced environment while maintaining attention to detail.
  • Ability to proactively identify issues and drive resolution.
  • Strong sense of ownership and accountability.
  • Ability to learn quickly and adapt to new technologies and processes.
  • Interest in developing a career in IT project management and operations.
  • Ability to verbally communicate: convey detailed and accurate instructions and information.
  • Ability to hear with or without correction in order to receive and interpret detailed information.
  • Required to sit at a desk work station for long and short periods of time.
  • Push, pull, lift and carry at least 10 pounds.
  • Occasionally required to walk and stand.
  • Required to have visual acuity with or without correction in order to read and interpret contract information and view information on a computer monitor.
  • Required to use fingers and hands: type using a computer keyboard, handle, feel, and reach.
  • May occasionally be required to stoop, kneel, and crouch.

Responsibilities

  • Maintain and manage project schedules across IT support, infrastructure, and development initiatives.
  • Track project progress, dependencies, risks, and milestones to ensure timely delivery.
  • Coordinate internal IT resources and external vendors to align on deliverables and timelines.
  • Facilitate project meetings, document action items, and drive follow-up to ensure accountability.
  • Assist in defining project scope, objectives, and success criteria in collaboration with IT leadership.
  • Support project reporting, including status updates, risks, and overall progress visibility.
  • Track project-related costs and ensure alignment with approved budgets.
  • Monitor IT spend across projects, vendors, and operational initiatives.
  • Assist in forecasting and identifying budget variances across IT initiatives.
  • Support IT leadership in maintaining financial discipline across all workstreams.
  • Manage the end-to-end IT procurement lifecycle, including quotes, purchase orders (POs), invoice reconciliation, and payment coordination.
  • Work with IT leadership and vendors to obtain, review, and validate quotes for hardware, software, and services.
  • Convert approved quotes into purchase requests and ensure accurate PO creation and tracking.
  • Validate vendor invoices against approved quotes, delivered goods/services, and contractual agreements.
  • Partner with Accounts Payable to ensure timely and accurate processing of IT-related invoices.
  • Track and maintain visibility into all IT purchases, including hardware, software licensing, subscriptions, and services.
  • Ensure alignment between procurement, asset tracking, and budget management.
  • Identify discrepancies between quotes, POs, and invoices and drive resolution with vendors and internal stakeholders.
  • Support standardization of IT procurement processes to improve efficiency, accuracy, and financial control.
  • Ensure IT purchases align with approved hardware and software standards.
  • Serve as a central point of coordination between IT, business stakeholders, and external vendors.
  • Ensure vendors meet delivery expectations, timelines, and service commitments.
  • Communicate project updates, risks, and delays to stakeholders in a clear and timely manner.
  • Support vendor onboarding and ongoing relationship coordination.
  • Assist in the development, tracking, and maintenance of IT key performance indicators (KPIs) across support, infrastructure, and project delivery.
  • Maintain project and operational reporting dashboards to provide visibility into performance, progress, and trends.
  • Support IT leadership in establishing measurable outcomes related to service delivery, project execution, and financial performance.
  • Analyze data and trends to identify opportunities for process improvement and operational efficiency.
  • Contribute to continuous improvement initiatives by helping standardize reporting, workflows, and performance tracking.
  • Identify opportunities to improve project tracking, procurement workflows, and IT operational processes.
  • Assist in developing standardized templates, trackers, and reporting mechanisms.
  • Support continuous improvement initiatives within IT operations.
  • Contribute to documentation of processes, workflows, and operational standards.
