About The Position

The Project Coordinator, IT is responsible for the day-to-day management of assigned project activities they support or will manage small projects with oversight. Creates and updates project schedules, management of deliverable milestones, project budget templates, RAID logs, status reports, change management Logs and other project delivery templates as requested. Suggests maintenance requirements for project repositories on MS Teams. Works closely with a Program or Project Manager. Builds positive working relationships with all levels of the organization and leads with a high sense of urgency.

Requirements

  • Bachelor's degree in business or a related field or equivalent experience preferred.
  • Zero to two years of related experience; may include small project or event planning, committee leadership, etc.
  • Retail, field or store operations, or related experience required.
  • Very detail orientated and organized.
  • Ability to lead/influence without authority.
  • Superior customer service attitude.
  • Excellent communication skills.
  • Self-motivated time management.
  • Strong background and experience in project delivery, fundamentals and tools, ideally proficient in Microsoft Office including Word, Excel, PowerPoint with some exposure to Visio (or other process diagramming tools), Teams/SharePoint, Project Management tools (Microsoft or others), & Copilot
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to demonstrate a knowledge of generally accepted Inventory Control principles.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Responsibilities

  • Demonstrates ownership, exceptional organization, and delivery discipline for assigned project or work tracks.
  • Builds strong working relationships with stakeholders and project team members; partner with more Sr team members in framing tradeoffs and issue escalations; actively learns how to provide context and recommended next steps.
  • Supports discovery to document current processes, pain points, handoffs, and system touchpoints with business SMEs and technology partners.
  • Helps translate process needs into requirements and supports traceability through design, testing, training, and readiness artifacts.
  • Coordinates with process owners and SMEs to surface operational risks and control considerations relevant to the project.
  • Partners with project leadership team to document project objectives, scope boundaries, success criteria, and prioritized requirements.
  • Documents requirements (and supporting assumptions/constraints) and coordinates reviews to drive alignment across business and IT teams.
  • Supports test planning and execution by coordinating scenarios, tracking defects/issues, and ensuring test results are documented and communicated with clear remediation owners and timelines.
  • Incorporates communications, training, and adoption tasks into the project plan; partners with project leadership team and/or business owners to confirm deliverables, owners, and timing.
  • Supports impact assessment and readiness planning (process, policy, data, and role impacts) and tracks mitigations through execution.
  • Develops plans for tracks of work and small projects & demonstrates increasing knowledge in project planning capabilities (scope, milestones, resources, budget, communications, and clear status reporting).
  • Manages scope, timeline, budget inputs, and quality expectations for assigned tracks of work or small projects; supports change control by documenting impacts and obtaining approvals as required.
  • Maintains RAID and action/decision logs with clear owners and due dates; drives mitigation planning, timely resolution, and escalations.
  • Produces status reporting (health, accomplishments, upcoming work, blockers, decisions needed) for stakeholders at appropriate levels.
  • Partners with technology teams, vendors, and business stakeholders to coordinate delivery activities, testing, cutover readiness, and stabilization support for assigned tracks of work &/or small projects.
  • Supports more Sr team members in planning and facilitating project working sessions (requirements, design, status, risk/issue, and readiness).
  • Coordinates across teams to manage handoffs and dependencies; helps resolve blockers by clarifying options, owners, and timelines.
  • Captures decisions, actions, and risks in project artifacts, maintains action/decision logs, and ensures outcomes are reflected in the project plan and status reporting with progressively less support from more Sr project team members.
