Behind the scenes, our operations are highly detailed and fast-paced, requiring team members who are organized, proactive, and committed to excellence. We are seeking a highly organized and detail-oriented Invoicing Specialist to join our growing team. The Invoicing Specialist plays a critical role in the day-to-day financial operations of the company. This position is primarily responsible for managing client invoicing, maintaining accuracy across financial workflows, and ensuring invoices and estimates move through the system efficiently and accurately. The ideal candidate thrives in a fast-moving small business environment, has a strong sense of urgency, and can quickly master highly detailed operational processes.

Requirements

  • College degree required
  • Strong accounting and invoicing knowledge
  • Exceptional organizational skills and attention to detail
  • Ability to work quickly while maintaining a high level of accuracy

  • Interior design procurement/accounting experience highly preferred
  • Experience with project-based invoicing preferred

Responsibilities

  • Manage client invoicing within QuickBooks Online
  • Coordinate invoice approvals internally with the design team
  • Maintain organization and accuracy across invoicing workflows
  • Manage accounts payable aging and outstanding balances
  • Track and manage open estimates
  • Maintain invoice documentation and digital records
  • Process invoices promptly and accurately
  • Communicate professionally with clients regarding invoices and balances as needed
  • Identify workflow inefficiencies and assist with operational process improvements
  • Maintain organized reporting and tracking systems using: Microsoft Excel, Google Sheets, Dropbox
