The Inventory & Receiving Specialist is responsible for managing the accurate receipt, inspection, organization, storage, and inventory control of lumber, building materials, special orders, and other products received at the branch. This position plays a critical role in ensuring that incoming materials are received accurately, properly inspected, entered into the company's operating system, and stored in the appropriate location. The Inventory & Receiving Specialist is also responsible for maintaining accurate inventory records, identifying discrepancies, monitoring stock levels, and communicating shortages, damages, or inventory concerns to management. The position works closely with purchasing, sales, warehouse, yard, delivery, and management teams to ensure materials are available when needed and that inventory records accurately reflect physical inventory. The successful candidate will be highly organized, detail-oriented, safety-conscious, and comfortable working in a fast-paced building materials environment.

Requirements

At least 2 years of experience in inventory management, receiving, warehouse operations, building materials, lumberyard, or a related environment.
Previous experience receiving and inspecting shipments.
Basic to intermediate computer skills.
Strong attention to detail and organizational skills.
Ability to accurately read and interpret purchase orders, invoices, packing slips, customer orders, and product information.
Ability to identify discrepancies between physical materials and system records.
Ability to safely handle lumber and building materials.
Ability to work independently while also working effectively as part of a team.
Ability to accurately inspect shipments, verify quantities and product information, enter receiving transactions, and identify inventory discrepancies.
Ability to maintain an organized warehouse, receiving area, inventory system, and documentation.
Understanding of inventory control principles, including stock levels, product locations, inventory counts, discrepancies, and replenishment needs.
Ability to communicate clearly and professionally with vendors, purchasing, sales, warehouse employees, yard employees, drivers, customers, and management.
Ability to investigate receiving and inventory discrepancies and recommend or implement appropriate solutions.
Ability to learn and effectively use BisTrack and other company systems to process receiving and inventory transactions.
Working knowledge of lumber and building materials, including product types, sizes, specifications, and applications.
Strong commitment to following company safety procedures and maintaining a safe warehouse and receiving environment.
Lift and carry building materials and products weighing up to 80 pounds.
Stand and walk for extended periods.
Bend, stoop, reach, climb, and move throughout warehouse and receiving areas.
Load and unload materials from trucks and delivery vehicles.
Safely operate forklifts and other material-handling equipment when trained and authorized.
Work indoors and outdoors in varying weather conditions.
Perform repetitive lifting, carrying, sorting, and material-handling tasks.
Safely work around lumber, building materials, forklifts, trucks, and other warehouse equipment.
Maintain accurate inventory records.
Receive and process materials accurately and efficiently.
Identify and communicate discrepancies promptly.
Maintain an organized and safe warehouse and receiving area.
Properly inspect incoming materials for quality and damage.
Ensure special orders are accurately received, labeled, stored, and staged.
Support efficient inventory flow and product availability.

Nice To Haves

Previous experience in a lumberyard or building materials environment.
Experience operating a forklift or other material-handling equipment.
Forklift certification.
Experience with BisTrack or similar inventory management systems.
Knowledge of lumber and building materials and their specifications.
Experience with inventory counts, cycle counts, and inventory reconciliation.
Experience communicating with vendors and suppliers regarding receiving discrepancies.

Responsibilities

Receive all incoming stock and special-order materials delivered to the branch.
Inspect incoming shipments for accuracy, quantity, quality, and visible damage.
Compare received materials against purchase orders, vendor invoices, packing slips, and other applicable documentation.
Verify that materials received match the products, quantities, sizes, descriptions, and specifications ordered.
Identify shortages, overages, incorrect products, damaged materials, or other discrepancies.
Document and promptly report receiving discrepancies to management and/or the appropriate purchasing or sales personnel.
Ensure damaged or questionable materials are properly identified and separated when necessary.
Receive all stock and special orders through the company's operating system.
Ensure receiving transactions are entered accurately and in a timely manner.
Communicate with vendors and internal departments regarding discrepancies, damaged goods, backorders, and other receiving issues.
Maintain organized receiving areas to prevent product damage and ensure efficient processing of incoming materials.
Maintain accurate physical and system inventory records for lumber, building materials, hardware, and other products.
Monitor inventory levels and identify shortages, excess inventory, damaged products, and discrepancies.
Perform routine inventory counts and cycle counts as directed by management.
Investigate and report differences between physical inventory and system inventory.
Assist management in identifying appropriate reorder points and inventory requirements.
Communicate inventory shortages and restocking needs to management and/or purchasing.
Ensure inventory is stored in the proper designated locations.
Organize materials according to size, type, style, color, product code, or other predetermined classifications.
Maintain accurate locations for inventory within racks, shelves, bins, holding areas, and other storage locations.
Ensure special-order materials are properly identified, labeled, and moved to the appropriate holding or customer pickup area.
Monitor inventory movement to help prevent misplaced, lost, or unaccounted-for materials.
Assist with inventory audits and year-end or periodic physical inventory counts.
Recommend improvements to inventory organization and storage practices.
Inspect incoming materials to ensure they meet company quality expectations and vendor specifications.
Identify damaged, defective, incorrect, or non-conforming materials.
Document quality concerns and communicate them to management and the appropriate internal department.
Assist with resolving quality issues with vendors and suppliers.
Monitor recurring product or vendor issues and bring trends to management's attention.
Ensure materials are properly handled and stored to minimize damage, deterioration, or loss.
Support company procedures designed to maintain product quality from receiving through customer delivery or pickup.
Assist management in developing and maintaining consistent receiving and inventory-control procedures.
Read customer orders, work orders, shipping orders, purchase orders, requisitions, and other documents to determine materials to be received, moved, gathered, distributed, or shipped.
Sort and place materials on racks, shelves, bins, pallets, or designated storage areas.
Assemble customer special orders from stock and place materials on pallets, shelves, or designated holding areas.
Relocate completed special orders to the appropriate customer pickup or shipping area.
Ensure special orders are properly labeled and organized.
Maintain clear and organized aisles, storage areas, and workspaces.
Ensure the warehouse remains accessible and safe for employees, salespeople, delivery personnel, and customers.
Assist with loading and unloading incoming and outgoing materials.
Operate forklifts and other material-handling equipment safely and responsibly, when trained and authorized.
Follow proper procedures for handling lumber and building materials to prevent injury or product damage.
Accurately enter receiving and inventory transactions into the company's operating system.
Utilize BisTrack, or other company systems, to process receipts, inventory adjustments, transfers, special orders, and other transactions as assigned.
Maintain accurate documentation related to receiving, inventory counts, discrepancies, damaged products, and vendor issues.
Research inventory discrepancies and assist with correcting system records when authorized.
Maintain organized records and documentation to support inventory accuracy and accountability.
Utilize Microsoft Excel and other computer applications as required.
Generate or assist with inventory reports and other operational reports as requested by management.
Communicate effectively with purchasing, sales, warehouse, yard, delivery, and management teams.
Coordinate with suppliers and vendors regarding receiving discrepancies, damaged products, shortages, incorrect shipments, and other issues.
Communicate inventory availability and concerns to the appropriate departments.
Notify management of recurring inventory, receiving, quality, or vendor problems.
Work collaboratively with the Yard Lead and other operations personnel to ensure efficient movement and storage of materials.
Provide timely updates regarding special orders, backorders, damaged materials, and receiving issues.
Report customer concerns or complaints related to inventory or received materials to the appropriate Supervisor or Branch Manager.
Follow all company safety policies, procedures, and PPE requirements.
Maintain a clean, organized, and safe work environment.
Follow all applicable OSHA requirements and company safety standards.
Use forklifts, pallet jacks, tools, and other equipment safely and only when properly trained and authorized.
Report unsafe conditions, accidents, injuries, equipment problems, and other safety concerns immediately to management.
Ensure materials are stored in a manner that does not create safety hazards.
Maintain clear emergency access routes, aisles, and work areas.
Maintain cleanliness and organization of warehouse and receiving areas.
Assist with sweeping, dusting, mopping, removing debris, and other facility-maintenance duties as needed.
Keep work areas, storage locations, and equipment orderly at all times.
Assist with maintaining company property, equipment, and operational areas.
Perform other duties and responsibilities as assigned by management.
Adhere to all approved Finetco policies, procedures, and safety requirements.
Maintain confidentiality of company and employee information.
Complete required company training and certifications.
Review and acknowledge new or updated company policies, procedures, and training materials as requested.
Log in to the employee's personal ADP account at least three times per week from a work or personal computer to review and complete any outstanding items listed under "Things To Do."
Promptly complete required acknowledgments, forms, training, and other administrative tasks.
