Requirements

  • Experience in administrative functions
  • Tech-savvy with strong interpersonal and written communications skills
  • Detail-oriented, able to work diligently to meet deadlines with an ability to prioritize multiple tasks
  • Excellent customer service skills
  • Highly organized, able to multitask, and can create systems to organize large amounts of information and documents
  • Able to work flexible hours, including evenings and weekends if needed

Nice To Haves

  • Project management skills are a plus

Responsibilities

  • Provide essential administrative support to the Operations teams, including supporting the VP of Patient Services with calendaring and expenses.
  • Support updates to department policy, procedure, and guidance documentation, facilitating translations as indicated.
  • Triage shared inboxes and process requests for assistance.
  • Support management of Medical Services SharePoint.
  • Support Committees and specifically the Change Management Committee (CMC) with meeting support (scheduling, agendas, record keeping) and organizing change proposals and approvals, including publishing the Change Queue and triaging the Medical Services Communications inbox.
  • Provide calendaring and other types of administrative support to other department leaders as assigned by the Administrative Manager.
  • Improve department workflow and efficiency by identifying priorities and developing and implementing effective office systems and procedures.
  • Regularly assess systems used in daily work for improvement opportunities and implement solutions that increase efficiency.
  • Handle select matters expeditiously and proactively, following them through to successful completion.
  • Assist Project Managers with various projects and initiatives that improve operations and are aligned with strategic priorities, managing the administrative logistics of various projects.
  • Maintain consistent communication with multiple stakeholders regarding task and project deadlines.
  • Coordinate various small projects and initiatives with the support and guidance of Project Managers.
