About The Position

Mid-Cities Medical, a Service-Disabled Veteran-Owned Small Business serving in-home medical needs for Veterans, is hiring an Intake Representative to support care coordination for veterans, hospitals, and patients. The role helps ensure departments can deliver compassionate, high-quality service to Veterans and their caregivers across Texas, Arizona, and Southern California. The position is on site, with a stated shift of 8 a.m. to 5 p.m. Duties and requirements may change and are not limited to those listed.

Requirements

• Must be legally able to work in the United States.
• High school diploma or higher education.
• Must understand and speak English fluently.
• Experience in a medical office, DME, or hospital.
• Ability to process written and oral communication from various sources.
• Advanced data-entry skills, including 10-key typing at 35 WPM.
• Intermediate Microsoft Excel skills, including resizing columns and rows and using basic formulas.
• Advanced phone and communication skills.
• Ability to multitask and communicate effectively while documenting processes.
• Flexibility between duties and on-the-job tasks.

Nice To Haves

• Experience with Brightree, Apachetta, or other Windows-based medical software.
• Spanish language skills.

Responsibilities

• Process high volumes of inbound and outbound calls with patients, family members, and medical providers.
• Process faxes and order entries, up to 100 per day.
• Coordinate remote printing with various branches.
• Maintain precise and accurate data entry.
• Educate patients and caregivers about oxygen, equipment, and hospital requirements or policies.
• Document patient records, including prescription updates, renewals, changes, travel, discontinuations, and notes, to maintain file integrity and support patient safety.
• Assist other departments with prescription and route assignment corrections and inquiries.
• Resolve issues with the VA or a similar entity as needed.
• Remain flexible between duties and on-the-job tasks.
• Manage time effectively and communicate while documenting processes.
