About The Position

The Intake Registration Clerk interviews incoming patients or their representatives and prepares registration forms for signature. This role is responsible for verifying insurance eligibility, benefits, and authorization for services, and processing charges into the computer system for services rendered. The position also encompasses the functions of cashier, telephone operator, and health information clerk.

Requirements

  • High school education or equivalent.
  • Mathematical ability required to review statistical data on various financial records.
  • 10-key adding machine, typing experience, and computer friendliness is required.
  • Accuracy is more important than speed.
  • Knowledge of filing systems and copy machines.

Nice To Haves

  • Experience of three years in a patient registration environment, preferably hospital.
  • Knowledge of medical terminology is preferred.
  • Bilingual preferred (Spanish/English).

Responsibilities

  • Obtains and verifies accurate registration data, including social, financial, and personal data from the patient or representatives.
  • Collects insurance forms, copies of insurance cards, and/or patient identification.
  • Determines the type of services needed for registration (Pre-registration) or prior to patients being seen.
  • Obtains necessary signatures on registration forms and explains clinic policies regarding registration and third-party payers.
  • Obtains MSP forms signed and completed properly and explains this form to Medicare patients.
  • Secures proper authorizations prior to services being rendered and takes appropriate action as necessary.
  • Documents account activity and financial status in notes.
  • Performs basic Health Information functions (when paper charts are in use): Assembles charts in proper order, creates filing charts using correct terminal digit stickers, and creates medical record deficiency slips.
  • Maintains the filing system in the designated area, ensuring confidentiality and security of patient health information.
  • Provides feedback on the quality, accuracy, and timeliness of other departments related to admission and billing.
  • Obtains authorization for release of records and verifies the validity of the requestor.
  • Assembles nightly documentation for transportation to the HIM department for coding.
  • Responds timely to requests and inquiries by department coordinators or managers.
  • Performs general clerical functions: answers telephones efficiently and politely, types, and compiles necessary reports.
  • Responsible for filing/scanning lab and ancillary reports into the medical record, completed charts into the permanent file system, and incomplete charts into the incomplete chart area.
  • Maintains filing systems to ensure accuracy and completeness of work within the department.
  • Performs financial functions: balances cash drawers, accepts payments, and generates receipts for patients and guarantors.
  • Demonstrates an understanding of Admission Policies and Procedures in performing job duties and instructing patients, routinely using the Admissions Policy and Procedure manual and other reference materials.
  • Utilizes the HIS Affinity system to its full capacity via CRT and continues to grow in computer capabilities.
  • Promotes positive patient/interfacility relations and a caring environment.
  • Maintains confidentiality of patients, services rendered, and financial or demographic information.
  • Performs similar job-related duties as assigned.
  • Cross-trains to perform registration functions in other outpatient departments.
  • Performs similar job duties as assigned in multiple outpatient departments.
