About The Position

An established employee benefits brokerage and advisory firm is seeking a highly organized and bilingual Insurance Account Operations Specialist to oversee day-to-day client service operations. This is a foundational role within a growing organization, offering significant autonomy, visibility, and the opportunity to take ownership of the full client service function. The firm has served employer groups across South Florida and throughout the country for more than 22 years, helping businesses design, implement, and manage employee benefits programs including group health, dental, vision, life, and disability coverage. This is an opportunity for an experienced employee benefits professional to step beyond a narrow role within a large brokerage and take ownership of the entire operational process. You will manage group health enrollments, terminations, carrier follow-up, claims resolution, billing reconciliation, compliance activities, and ongoing client service from beginning to end.

Requirements

  • Bilingual English & Spanish: Fluency in both languages, spoken and written, is required. You must be confident handling client and employee calls independently in Spanish.
  • Employee benefits experience: 2+ years of experience in employee benefits, an insurance agency, an insurance carrier, or HR benefits administration is strongly preferred.
  • Strong client-service orientation: You are comfortable serving as a primary point of contact and communicating directly with clients, employees, and carriers.
  • Proactive and persistent: You are comfortable making outbound calls and following up repeatedly until an issue is fully resolved. A task is not considered complete until the appropriate confirmation has been received.
  • Strong Excel skills: Comfortable using formulas, sorting and filtering data, and cleaning imported information.
  • Technology proficiency: Working knowledge of Microsoft 365 is required.
  • Highly organized and detail-oriented: Able to manage multiple priorities while maintaining accurate records and meeting recurring deadlines.
  • Confidentiality and discretion: Comfortable handling protected health information (PHI), confidential employee information, and client financial data.
  • Willing to obtain the Florida 2-15 Life and Health license within 12 months.
  • Must be able to reliably commute to the firm's Sunrise, Florida office.

Nice To Haves

  • Experience with Employee Navigator is strongly preferred.
  • Experience with Salesforce, Airtable, or Zoho Desk is a plus.

Responsibilities

  • Managing new-hire group health enrollments and weekly terminations from start to finish, including verifying elections, entering information into carrier portals and Employee Navigator, reporting COBRA events, and obtaining written carrier confirmation.
  • Advocating on behalf of employees with insurance carriers to resolve claims issues, billing errors, denied or missing claims, and EOB requests.
  • Serving as the first point of contact for client service requests by phone, email, and portal.
  • Managing the client follow-up queue and ensuring that outstanding issues are tracked through resolution.
  • Building and maintaining client groups in Employee Navigator, including plans, rates, and carrier feeds.
  • Maintaining accurate records across carrier portals and internal tracking systems.
  • Reconciling carrier invoices monthly and resolving eligibility and billing discrepancies.
  • Conducting post-enrollment audits by comparing payroll censuses against carrier enrollments.
  • Managing the recurring service calendar, including monthly age-change reports, billing reconciliations, and compliance notice distribution.
  • Supporting open enrollment cycles through data entry, census reconciliation, document preparation, and coordination with the enrollment team.
  • Assisting with general office responsibilities within a small, growing organization.
