About The Position

We are seeking a highly motivated and effective Information Specialist responsible for facilities and audiovisual management for U.S. Trade and Development Agency’s (USTDA) conference rooms, training rooms, and Business Center. This position supports agency information management systems, coordinates conference room scheduling and setup, and provides technical support for audiovisual equipment during high-level delegation events and agency meetings.

Requirements

  • Bachelor’s degree required in business or information management and/or related certifications
  • 5 years of administrative experience
  • Experience creating and implementing organizational or administrative management policies and procedures
  • Experience providing training and technical assistance to staff
  • Experience in information and records management
  • Secret clearance required
  • Ability to use a variety of IT programs, databases, and computerized systems
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks, prioritize work, and meet deadlines
  • Ability to identify and resolve complex problems

  • Experience with SharePoint and TDAMIS

Responsibilities

  • Handle reservations and coordinate USTDA's Business Center and conference rooms
  • Maintain events calendar for Business Center and all agency conference rooms
  • Perform physical room setup including furniture, refreshment stations, and AV/teleconferencing equipment
  • Ensure conference room equipment operability and troubleshoot minor connection issues
  • Provide on-site technical support for AV equipment (microphones, monitors, connectivity, presentations)
  • Create and edit audio-visual content such as presentations and videos
  • Coordinate with audiovisual subcontractor for repair visits as needed
  • Conduct twice-weekly walk-throughs of conference spaces and training center to check system functionality
  • Input and update electronic data in USTDA's Information Management Systems (SharePoint, TDAMIS)
  • Organize and verify fiscal, program, project management, contract/grant data prior to system input
  • Obtain data and run reports from Information Management System as requested
  • Experience in creating and implementing organizational or administrative management policies and procedures
  • Evaluate program effectiveness and recommend improvements
  • Provide training and technical assistance to staff
  • Support the information and records management
  • Use of a variety of IT programs, databases, and computerized systems
  • Leverage excellent written and verbal communication skills to effectively communicate with the visitors and USTDA leadership
  • Deliver innovative and quality customer service
  • Provide administrative services like office management, building and facilities management, human resources, and/or security
  • Manage multiple tasks, prioritize work, and meet deadlines
  • Identify and resolve complex problems
