About The Position

The IEP Coordinator will be responsible for managing and tracking all stages of the Individualized Education Program (IEP) process, ensuring compliance with district and federal guidelines. This role involves extensive coordination with students, families, school staff, and external contractors, as well as meticulous record-keeping and documentation. The coordinator will also provide support for Extended School Year (ESY) programs and testing coordination.

Responsibilities

  • Manage and track all stages of the IEP process, including scheduling meetings, creating invitations, sending documents, and maintaining tracking spreadsheets.
  • Download and distribute caseload IEPs to contractors and special education teachers.
  • Follow up on unsigned paperwork.
  • File incoming IEPs and evaluation documents for new and transferring students.
  • Request educational records from previous schools and districts for students with disabilities.
  • Fulfill document and records requests in a timely manner.
  • Maintain organized and confidential student records.
  • Coordinate in-person testing logistics, including securing locations and schedules.
  • Contact parents to remind them of testing appointments.
  • Communicate student absences to contractors on testing days.
  • Ensure testing documentation and communication are completed accurately.
  • Create and maintain progress report tracking spreadsheets.
  • Organize and distribute progress reports.
  • Log parent and stakeholder contacts related to progress reporting.
  • Create and maintain ESY participation tracking spreadsheets.
  • Send ESY amendments, parent letters, and surveys.
  • Track student attendance confirmations and follow up with families.
  • Maintain communication logs regarding ESY participation.
  • Create and distribute biweekly Special Education meeting schedules.
  • Collaborate with Sub Planner and school leadership to coordinate meeting coverage.
  • Support communication between special education staff, contractors, administrators, and families.
