About The Position

Provides administrative and operational support for the Association’s Human Resources functions, including onboarding, training coordination, employee programs, records management, recruiting support, and general HR operations. Assists with scheduling, travel coordination, maintenance of HR documentation and files, and supporting employee experience initiatives. Maintains confidentiality and supports the HR team through a variety of day-to-day administrative and coordination activities while following established procedures and guidelines.

Requirements

  • High school diploma or equivalent and 2+ years of administrative or office support experience required.
  • General knowledge of office equipment, business systems, and software applications used for the storage and retrieval of information.
  • General knowledge of records management, file maintenance, and document retention practices.
  • Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines.
  • Ability to coordinate meetings, training sessions, travel arrangements, and other administrative activities.
  • Strong attention to detail and ability to maintain accurate records and documentation.
  • Ability to communicate and coordinate effectively with employees, management, applicants, and outside vendors.
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Strong oral and written communication skills.
  • Intermediate to advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Ability to learn and utilize HR systems, applicant tracking systems, and other business applications.
  • Works under general supervision and follows established procedures and guidelines in performing job responsibilities.
  • Typically reports to a supervisor or manager.

Responsibilities

  • Provides day-to-day administrative support for Human Resources functions, including scheduling meetings, coordinating calendars, maintaining records, preparing materials, and assisting with general department operations.
  • Coordinates logistics for training, onboarding, meetings, and employee development activities, including scheduling sessions, managing registrations, booking travel and hotel accommodations, preparing materials, and communicating details to participants.
  • Supports employee experience and engagement initiatives, including coordinating new hire welcome gifts, service and tenure awards, employee recognition items, and other employee programs and events.
  • May coordinate delivery of benefits, payroll processes, and other HR programs, including reconciliation of approved leave requests with recorded timesheets and support of payroll and benefits administration activities.
  • Coordinates and assists with audit controls, employee recognition and awards, invoice processing, job posting requests, workflow approvals, and Kudos initiatives.
  • May perform initial applicant screening through the Association’s applicant tracking system and assessment tools, including processing background checks for prospective and new hires.
  • Assists with onboarding activities, including preparing onboarding documentation, coordinating orientation logistics, and supporting a positive new hire experience.
  • Assists with maintaining HR records and files, including recruiting files, personnel files, onboarding documentation, training records, and other HR documentation.
  • Maintains confidentiality and handles sensitive employee and organizational information with discretion.
  • May provide administrative and reporting support related to headcount tracking, recruiting activity, training participation, and other HR operational metrics.
  • Supports the HR team with additional HR functions and department initiatives as needed.
