About The Position

The HR / Recruiting & Facilities Coordinator provides administrative, organizational and operational support to the Senior Director of Human Resources and Facilities Manager, helping ensure priorities, requests, projects and day-to-day responsibilities are tracked, scheduled and completed efficiently. This role will serve as a central point of coordination across HR, Recruiting and Facilities, maintaining visibility into incoming requests, managing follow-up, organizing calendars and deadlines, and taking ownership of designated administrative processes. The ideal candidate is highly organized, proactive and comfortable keeping multiple people and priorities on track in a fast-paced environment.

  • Comfortable proactively following up with senior leaders, managers and vendors.
  • Strong written and verbal communication skills.
  • Ability to assess urgency, prioritize appropriately and exercise sound judgment.
  • High level of discretion when handling confidential HR information.
  • Strong Microsoft Outlook, calendar management and general Microsoft Office skills.

Responsibilities

  • Provide day-to-day administrative and organizational support to the Senior Director of Human Resources.
  • Monitor relevant email communications and identify items requiring action, follow-up or escalation.
  • Maintain calendars, deadlines, meetings, new-hire activity and HR deliverables.
  • Coordinate and track designated HR processes, documentation and other employee-related paperwork.
  • Help ensure managers and internal partners complete required documentation and follow established HR processes.
  • Coordinate new-hire readiness, ensuring appropriate stakeholders are prepared prior to an employee's start date.
  • Schedule meetings, organize follow-ups and help keep open items moving to completion.
  • Take ownership of defined administrative responsibilities to reduce day-to-day transactional workload from the Senior Director.
  • Provide administrative and coordination support for recruiting activity across the organization as needed.
  • Prepare, create and track RTHs, COS forms and other recruiting-related documentation, ensuring information is complete and routed appropriately.
  • Serve as an administrative representative for Kasper in recruiting meetings, capturing action items, coordinating follow-up and helping keep hiring activity moving.
  • Coordinate candidate interview scheduling, calendars, confirmations and related communication with candidates, hiring managers and internal partners.
  • Support the planning, scheduling and execution of career fairs, campus recruiting events and other recruiting initiatives, including attendance as needed.
  • Assist with job postings, candidate tracking, interview materials, recruiting reports and other ad hoc Talent Acquisition administrative needs.
  • Help maintain visibility into open requisitions, interview activity, outstanding feedback and next steps, proactively following up where appropriate.
  • Support the Facilities Manager with organization, scheduling and follow-up of facilities-related requests.
  • Monitor facilities communications and log maintenance, repair, building and workplace requests.
  • Assess incoming requests for urgency and help prioritize and schedule appropriate action.
  • Maintain a calendar or tracking system for repairs, preventative maintenance, vendors and open facilities issues.
  • Follow up with the Facilities Manager and vendors to ensure work is completed timely.
  • Respond to workplace issues as needed to gather information and help coordinate next steps.
  • Maintain visibility into outstanding facilities needs and proactively flag overdue or urgent items.
  • Serve as a central organizational resource across HR and Facilities.
  • Maintain trackers, calendars and action lists to ensure commitments and deadlines are visible and completed.
  • Proactively remind stakeholders of upcoming responsibilities and follow up on incomplete items.
  • Help establish consistent workflows rather than relying on ad hoc follow-up.
  • Identify opportunities to streamline administrative processes and improve communication.
  • Take on projects and recurring responsibilities that can appropriately be delegated from HR and Facilities leadership.
