About The Position

The Ponte Vedra Inn & Club is seeking an organized, welcoming, and detail-oriented on-site Human Resources Onboarding Specialist. The role coordinates pre-employment requirements, new hire paperwork, and orientation while providing administrative support to the Human Resources Department. As an initial point of contact for applicants and colleagues, the specialist represents the department with warmth, professionalism, and efficiency.

Requirements

High school diploma or equivalent.
At least one year of administrative or office support experience.
Proficiency in Microsoft Word, Excel, and Outlook, with the ability to learn HR systems.
Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Excellent communication and customer service skills.
Ability to handle confidential information with discretion.
Ability to communicate effectively in spoken and written English.
Flexible availability, including weekends and holidays as needed.
Reliable attendance and a professional appearance consistent with company standards.
Ability to sit for several hours at a time and lift, move, and carry up to 20 pounds.

Nice To Haves

College coursework in Human Resources, Business Administration, Hospitality, or a related field.
Administrative or office support experience in human resources, hospitality, or customer service.
Dayforce experience.
Spanish proficiency.
Experience with data entry, records management, and multi-line telephone systems.

Responsibilities

Guide new hires through onboarding and ensure required paperwork and pre-employment steps are completed accurately and on time.
Coordinate background checks, motor vehicle record checks, and drug screenings; monitor results and communicate clearance status to hiring leaders.
Prepare new hire packets, follow up on missing information, and maintain accurate, confidential personnel records.
Coordinate orientation schedules, communicate attendance expectations, track participation, and assist with issuing nametags and timecards.
Maintain applicant and new hire information in Dayforce.
Work with the HR Specialist to maintain accurate requisitions and job postings and ensure required approvals are complete.
Greet and assist applicants, colleagues, and visitors in a friendly, professional manner.
Answer telephone calls, monitor the HR inbox, and manage department correspondence and mail.
Assist applicants with completing applications and answer questions about the hiring process.
Maintain job descriptions, department forms, office supplies, and the property telephone directory.
Coordinate colleague attraction passes and assist with employment verification requests in accordance with company procedures.
Support workers’ compensation documentation and other HR administrative tasks as assigned.
Attend required training and meetings and follow company safety procedures.
