About The Position

You are the operational engine and administrative backbone that keeps our People & HR department running smoothly. As a core member of the team, you focus deeply on the employee lifecycle and administrative excellence—ensuring that from the moment a new hire signs their offer, the behind-the-scenes systems, documentation, and coordination required for their journey into Capital Factory and our STATION entities are seamless, professional, and world-class. You own the "Day 1 to Day 90" experience and the critical HR administration that follows. You serve as the primary point of contact for employee inquiries, benefits administration, and internal engagement initiatives. This role is ideal for a proactive professional who thrives on meticulous organization, administrative precision, and maintaining the data integrity necessary to support an inclusive culture where every team member feels supported and heard.

Requirements

  • Bachelor’s Degree OR High School Diploma in combination with 5+ years of experience in corporate, startup, administrative, and/or Human Resources functions and systems.
  • Excellent interpersonal skills with proven ability to deliver high-quality customer service to all internal and external customers.
  • Working knowledge of legal requirements and government reporting regulations affecting Human Resources functions and compliance.
  • Outgoing and can talk to just about anyone.
  • A documentor. You make lists and spreadsheets.
  • A problem solver. You look for ways to make things work better and how to turn chaos into systems.
  • Organized and plan ahead, but you don’t get stressed out when things change at the last minute… because they will. You roll with it.
  • Check your email in the evenings and are available to work during evening events and over the weekends when there is a tight deadline. You do what it takes to get the job done.
  • Have a reliable laptop computer & smartphone that you are comfortable using for work.
  • Plan to stay in Texas for at least two years.
  • Excellent written and verbal communication skills.
  • Communicate when you are not able to meet a deadline and suggest a solution.
  • Professional and presentable and greet everyone cheerfully.
  • Ready to deal with an immature student, a pushy salesperson, top VC’s, a fortune 500 CEO, and even the President of the United States.
  • Excited to work in downtown Austin and have reliable transportation.
  • Have a quiet place where you can work remotely with fast internet.
  • Security aware. Have a passcode on your computers and phones and use a password manager.
  • Able to efficiently use the Google suite of productivity tools (Gmail, Drive, Docs, Sheets, Slides).
  • Available to work during SXSW (Spring Break), DREAMCON (one week long staff summits twice a year), and Austin Startup Week.

Responsibilities

  • Lead the end-to-end onboarding process, ensuring every new hire at Capital Factory and STATION entities has the equipment, access, and cultural orientation needed to succeed from Day 1.
  • Serve as the first point of contact for employee benefit questions and manage the administrative side of health insurance, 401k, and wellness programs.
  • Maintain the "source of truth" for all employee records, ensuring 100% accuracy in our HRIS (personnel files, compensation changes, and title updates).
  • Execute internal events, recognition programs, and team-building initiatives that strengthen our culture across all locations.
  • Assist in the maintenance of the employee handbook and ensure all state-specific labor posters and compliance requirements are up to date.
  • Assist with the logistics for performance review cycles, ensuring managers and employees hit their deadlines.
  • Work closely with Finance to ensure payroll data (new hires, terminations, and deductions) is submitted accurately and on time.
  • Implement and utilize AI tools to automate routine HR tasks such as document generation, FAQ responses for employees, and data auditing within the HRIS.
