About The Position

The HR Coordinator is a generalist human resources role responsible for supporting the various functions of the HR department. This involves assisting in the day-to-day delivery of HR services and working in close collaboration with the HR team to support key projects and programs. The coordinator will support the maintenance of Salus’ HRIS, employee records and support the administration of group benefits and the pension plan.

Requirements

  • Post-Secondary Education in Human Resource Management or related field and 2 years of recent HR experience, or equivalent combination of education and experience
  • Recent experience supporting benefit administration in a unionized environment
  • Ability to work in an organization providing services to vulnerable and marginalized individuals.
  • Ability to work flexible hours as necessary
  • Working knowledge of Ontario’s employment related legislation including the Employment Standards Act, Occupational Health and Safety Act, Human Rights Code, Workplace Safety and Insurance Act (WSIB) as well as applicable standards pertaining to the HR profession
  • Proficiency in Microsoft office suite and SharePoint
  • Strong administrative skills, knowledge of office procedures, and filing systems (electronic and paper)
  • Outstanding verbal and written communication skills
  • Experience using HR technology (Recruitment and Applicant Tracking systems, Learning Management Systems.) and other applications to facilitate effective HR service delivery
  • Familiarity with social media recruiting
  • Strong interpersonal communication skills and the ability to establish a good working relationship with both internal and external stakeholders
  • Strong commitment to maintaining confidentiality and privacy of human resources information
  • Experience providing HR services in a unionized environment

Responsibilities

  • Support the HR Business Partner(s) with recruitment and selection processes in accordance with the Collective Agreement and legislative requirements including preparation of postings, applicant screening, offer letters and document collection.
  • Coordinate the onboarding processes, including setting up workflows and liaising with different teams to ensure a smooth process
  • Conduct HR onboarding sessions with new hires
  • Respond to internal HR inquiries in a timely manner and redirect employees to the correct sources as appropriate
  • Guide employees through various human resource processes across the employee life-cycle
  • Support the HRBP’s in processing disability claims and WSIB claims ensuring proper records management
  • Maintain personnel records
  • Maintain orientation and onboarding programs
  • Prepare and distribute monthly seniority list and union activity report
  • Assist in organizing and coordinating training & development initiatives including annual compliance training
  • Maintain training database to ensure employee training records are up to date
  • Develop reports for compliance training as required (e.g., Health and Safety, AODA)
  • Deploy post-training evaluation tools to analyze data for future quality improvements
  • Coordinate the annual performance review process for employees and report on completion status
  • Ensure the accurate entry of benefits and pension information in the HRIS system
  • Process benefits and pension enrollments, status changes and terminations
  • Support biweekly payroll processing by providing accurate information on employee changes and maintaining up-to-date employee records in the HRIS
  • Respond to general employee inquiries regarding benefits and pension
  • Support the preparation of monthly benefits, pension and payroll remittance reports
  • Support the year end reconciliation of benefits, pension and payroll related items; including providing required information to the appropriate parties
  • Maintain and update employee data in the HRIS, employee files and related documentation
  • Coordinate the tracking of HR metrics and key performance indicators
  • Other related duties as assigned
