About The Position

This role involves a blend of Human Resources and Operations Administrative duties. The Human Resources Coordinator will be responsible for maintaining accurate HR files and records, managing job postings, assisting with recruitment and onboarding, and answering employee and applicant questions. Operationally, the role includes administrative tasks, badge processing, and invoice management.

Requirements

  • Accurate and up to date human resources files, records and documentation.
  • Integrity and confidentiality of human resources files and records.
  • Periodic audits of HR files and records.
  • New hire data entry into HRIS.
  • Maintenance of active job openings and received applications records.
  • Management of internal and external job postings.
  • Answering frequently asked questions from applicants and employees.
  • Referral of complex questions to senior-level HR staff or management.
  • Scheduling, organizing materials and conducting new hire orientation.
  • Assistance with onboarding activities (background checks, fingerprint appointments, I9 verifications).
  • Assistance with recruitment activities (creating job postings, coordinating/scheduling interviews, pre-screening candidates).
  • Employee engagement.
  • Administrative and office tasks (office supply management, special projects).
  • Processing badge applications for new, renewing, and exiting employees.
  • Compliance with airport requirements for badge processing.
  • Processing invoicing.
  • Auditing vendor statements.
  • Invoice reconciliation.

Responsibilities

  • Ensure accurate and up to date human resources files, records and documentation.
  • Uphold integrity and confidentiality of human resources files and records.
  • Perform periodic audits of HR files and records to ensure all required documents are collected and filed appropriately.
  • Enter new hire data into the HR Information Systems (HRIS) and maintain accurate records of active job openings and received applications.
  • Manage internal and external job postings.
  • Answer frequently asked questions from applicants and employees regarding standard policies, benefits, hire processes etc., and refer more complex questions to senior-level, HR staff or management.
  • Schedule, organize materials and conduct new hire orientation.
  • Assist with onboarding activities such as background checks, fingerprint appointments and I9 verifications.
  • Assist with recruitment activities, including but not limited to creating job postings, coordinating/scheduling interviews and pre-screening candidates.
  • Employee engagement.
  • All other duties assigned.
  • Assist with various administrative and office tasks, including office supply management, special projects and other duties assigned.
  • Process badge applications for new employees, renewals for current employees and termination of badge access for exiting employees in compliance with airport requirements.
  • Process invoicing and auditing vendor statements and invoice reconciliation.
  • All other duties assigned.
