This role plays a key part in ensuring smooth day-to-day HR processes, including onboarding, employee records management, compliance tracking, and administrative support. Requirements

  • 0–2 years of experience in HR, administrative support, or a related field
  • Strong attention to detail and organizational skills
  • Ability to handle confidential information with professionalism
  • Strong communication and follow-up skills
  • Comfortable working in a fast-paced, operations-driven environment
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Experience with HRIS/payroll systems (Paycor preferred)
  • Bilingual (English/Spanish) required to effectively support a diverse workforce

Responsibilities

  • Provide day-to-day administrative support to HR and field operations teams
  • Maintain accurate, complete, and audit-ready employee records
  • Respond to employee inquiries regarding HR policies and processes
  • Escalate employee relations concerns or documentation issues as appropriate
  • Coordinate onboarding and ensure completion of required documentation (I-9, W-4, direct deposit)
  • Ensure I-9 compliance (Section 1 on Day 1, Section 2 within 3 business days)
  • Track onboarding progress and follow up on outstanding items
  • Maintain personnel files in accordance with recordkeeping requirements
  • Maintain strict confidentiality of employee information
  • Enter and maintain employee data in HRIS/payroll systems (Paycor preferred)
  • Support compliance with federal, state, and local employment laws
  • Assist with audits, inspections, and internal reviews
  • Escalate missing documentation or compliance concerns
  • Assist with timecard review and identify discrepancies
  • Support payroll processing by verifying and correcting employee data
  • Partner with HR and Payroll to resolve issues impacting payroll accuracy
  • Post job openings and coordinate candidate scheduling
  • Maintain accurate applicant tracking records in ATS systems
  • Support hiring and onboarding tracking
  • Track key HR metrics (e.g., onboarding timelines, document completion rates)
  • Maintain trackers, spreadsheets, and reports
  • Identify opportunities to improve HR processes and workflows
