About The Position

Founded in 1968 to meet the post-secondary and continuing education needs of Cecil County residents, Cecil College has been serving the community and shaping its future for more than 50 years. The College is governed by a Board of Trustees appointed by the governor. The College’s fifth president, Dr. Mary Way Bolt, reports directly to the Board of Trustees. Cecil College is centrally located in Maryland’s most northeastern county, just one half mile from Interstate 95. It is easily accessible from Philadelphia and Baltimore, as well as from Wilmington, Delaware. With a diverse student population, Cecil College enrolls approximately 2,500 credit students and 3,400 non-credit students. Cecil offers associate degrees, certificate programs and non-credit classes. Cecil offers a variety of associate degree and certificate programs. JOB SUMMARY: The HR Assistant is responsible for supporting the overall administrative and operational functions for the human resources department. The HR Assistant provides support and assistance in the following functional areas: data entry, employee records, professional development, wellness and engagement initiatives and general office assistance. This position is not eligible for telework. This is a part time role. The schedule for the position is 4-5 days a week 24-28 hours a week. Must be available to work between the hours of 8:00 am-4:30 pm. Must be available to work in person on the North East campus.

Requirements

  • Associates degree required.
  • Two years’ experience in office setting required.
  • Excellent Microsoft Office Software skills including Word, Excel, PowerPoint, and Outlook; ability to generate reports from a human resource information system and other spreadsheets as required
  • Excellent written and oral communication skills.
  • Able to multi-task, work independently, excellent attention to detail, able to think critically, problem solving ability, the ability to analyze data and ability to adapt to changing priorities

Nice To Haves

  • Bachelor’s degree preferred.
  • Experience in human resources preferred.

Responsibilities

  • Serve as a first point of contact for visitors to the department.
  • Provide administrative support to the HR department including but not limited to meeting, interview and room scheduling, reconciling and processing invoices, preparing reports and memo’s, updating organizational chart, and maintaining office supply inventory.
  • Responsible for maintaining the department’s shared email account and responding to general inquiries. Routes email to the HR department as needed.
  • Provides administrative and data entry support to department on payroll processing in HRIS system.
  • Prepares personnel action items and certificates for monthly Board report.
  • Assist with preparation and coordination of HR department engagement initiatives including but not limited to All College Day, Employee Appreciation Day, Wellness Fair.
  • Assist HR Generalist with compliance related initiatives, including tracking employee progress and creation of employee credentials.
  • Maintains employee identification system with assistance as needed from the HR Generalist.
  • Responsible for maintaining probationary schedule and related paperwork for employees and supervisors.
  • Responsible for tracking performance evaluation status for employees.
  • Maintains and updates shared calendar for department.
  • Reconciles and processes invoices.
  • Support onboarding initiatives as directed by supervisor or designee.
  • Creates and maintains employee files.
  • Maintains organization of employee files based on records and retention schedule.
  • Responsible for pulling fingerprinting results from designated websites and maintains fingerprint results as required by state and federal regulation.
  • Provides and gathers data for new hire reporting for the Maryland New Hire Registry, and the Department of Labor as required
  • Assists with maintaining the human resource records retention schedule
  • Assist department with projects as needed.
  • Supports cross collaboration with the college community by representing department during special events.
  • Other duties as assigned.
