About The Position

This role is responsible for the clerical and administrative functions within the HR department. Key duties include managing leaves of absence, payroll processing, file administration, benefits administration, workers' compensation, unemployment claims, and preparing associated reports. The position involves counseling associates, responding to information requests, and completing HR-related forms and documents. The HR Assistant will also interact with the Home Office and outside vendors on various HR-related matters.

Requirements

  • High School Diploma or equivalent work experience
  • Good organizational, communication, and interpersonal skills
  • Knowledge of basic HR functions (payroll, files, and benefits)
  • Knowledge of MS Excel
  • Knowledge of MS Word
  • 1-2 years related experience

Nice To Haves

  • Bilingual preferred
  • Knowledge of payroll systems preferred (Kronos, Workday)

Responsibilities

  • Update and maintain the payroll system, petty cash, and process payroll adjustments/increases.
  • Transmit payroll in conjunction with the Home Office and audit payroll reports for corrections.
  • Process stop payments for voided checks and prepare checks for distribution.
  • Update and maintain the HRIS, including personnel files, profiles, new hire paperwork, bid acceptances, and personnel change status.
  • Track, maintain, and prepare various lists and reports such as new hire evaluations, attendance (sick, vacation, holiday time), and seniority/shift information.
  • Coordinate the benefits program, including insurance, 401(k), leaves of absence, and appointment tracking.
  • Counsel associates on benefit plans and provisions, and assist with claims and open enrollment forms.
  • Assist with new hire and benefit orientations for bilingual associates and provide translations for associate relations, benefits, and medical services.
  • Respond to associate inquiries regarding HR-related issues, including employment verifications, information clarification, and follow-up on documentation.
  • Respond to external inquiries regarding Human Resources issues.
  • Complete employment verifications, process unemployment information, and respond to wage verifications.
  • Interact with the Home Office on HR administrative issues and keep the Human Resources Supervisor informed.
  • Participate in special projects as assigned.
