About The Position

Tampa Family Health Centers (TFHC), a mission-driven Federally Qualified Health Center serving Hillsborough County, is seeking a detail-oriented Human Resources Assistant to support daily employee callouts and organization-wide time and attendance administration. The position receives and documents employee callouts, communicates information promptly to appropriate leaders, monitors attendance records in ADP, and prepares accurate reports for HR and operational review. The role handles sensitive information discreetly and refers leave, accommodation, employee relations, and corrective-action matters to the appropriate HR team member. This is a fully onsite, full-time position, Monday through Friday, 8:00 AM–5:00 PM, at 302 West Fletcher Avenue, Tampa, Florida 33612. Initial training may differ from the regular schedule. New hires must be available for up to 40 hours of onsite training during their first week; additional mandatory training may continue for approximately two to three weeks, depending on the position and training requirements. Training may take place at a TFHC location other than the assigned work location.

Requirements

  • High school diploma or GED.
  • At least two years of experience in human resources, timekeeping, scheduling, payroll support, or administrative work involving confidential records.
  • Experience entering data, maintaining logs, resolving discrepancies, and preparing routine reports.
  • Ability to receive and document callouts accurately and notify the appropriate leader promptly.
  • Ability to compare schedules, callout records, and timecards; identify discrepancies; and track them through resolution.
  • Working knowledge of Microsoft Outlook and Excel, with the ability to learn ADP and other assigned systems.
  • Strong attention to detail, organization, and follow-through, including the ability to meet payroll and reporting deadlines.
  • Clear and professional written and verbal communication with employees and leaders across multiple locations.
  • Ability to handle confidential information appropriately and refer potential leave, accommodation, work injury, and employee relations matters to the designated HR team member.
  • Sound judgment to distinguish factual recordkeeping and reporting from decisions reserved for HR leadership, including attendance classification and corrective action.
  • Ability to prioritize time-sensitive callouts while maintaining accurate records and routine reporting.
  • Completion of TFHC training in callout procedures, ADP time and attendance workflows, confidentiality, records handling, and escalation protocols within the established onboarding period.
  • Availability for up to 40 hours of in-person, onsite training during the first week; additional mandatory training may continue for approximately two to three weeks.

Responsibilities

  • Serve as a designated contact for employee callouts and record the employee’s name, work location, scheduled shift, notice time, and information required by the callout procedure.
  • Promptly notify the employee’s leader and other designated contacts so coverage needs can be addressed.
  • Maintain a complete callout log and follow up on missing information or notices submitted outside the established process.
  • Review ADP time and attendance records for missed punches, tardiness, early departures, absences, and other exceptions.
  • Prepare daily, weekly, and monthly attendance reports for HR and operational leaders, including trends, recurring exceptions, and outstanding corrections.
  • Coordinate with employees and leaders to obtain information needed to resolve timekeeping exceptions and route corrections through the established approval process.
  • Track attendance occurrences under organizational policy and flag records requiring HR review; attendance classifications and corrective-action decisions remain with appropriate HR personnel.
  • Refer potential FMLA, ADA, pregnancy-related accommodation, workers’ compensation, or other leave matters to the designated HR specialist without requesting unnecessary medical details.
  • Reconcile callout records with schedules and ADP entries, and escalate discrepancies that could affect payroll accuracy.
  • Maintain organized, confidential records and support attendance audits, policy communications, and process improvements.
  • Respond to routine employee and leader questions about callout procedures, timekeeping steps, and where to submit requests.
  • Perform other related HR administrative duties as assigned.
