About The Position

The HR Assistant (Float) provides flexible administrative and operational support to the Human Resources team across multiple locations, departments, and HR functions. This role is designed to ensure continuity of HR services during employee absences, vacancies, high‑volume periods, and special initiatives. The HR Assistant (Float) supports recruiting, onboarding, employee support, HR operations, and general administrative tasks while adapting to shifting priorities in a fast‑paced environment.

Requirements

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience
  • 1–3 years of experience in HR, administrative support, recruiting, or a related function
  • Experience working in a fast‑paced or multi‑department environment
  • Bilingual - English & Spanish
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Ability to travel 5-10%
  • Proficiency with Microsoft Office (Excel, Outlook, Word)
  • Experience working with HR systems and databases
  • Strong attention to detail and follow‑through
  • Adaptability and problem‑solving mindset

  • Experience supporting multiple locations or distributed teams
  • Familiarity with ADP Workforce now or other HRIS and applicant tracking systems
  • Prior experience providing coverage or “float” support in an HR or administrative role

Responsibilities

  • Assist with employee onboarding and offboarding processes, including document collection and system updates
  • Maintain accurate employee records in the Human Resources Information System (HRIS)
  • Support timekeeping coordination, audits, and data verification
  • Assist with HR compliance activities by following established company policies and procedures
  • Provide recruiting support during high‑volume hiring periods or to cover temporary staffing gaps
  • Assist with job postings, applicant tracking system updates, and candidate communications
  • Coordinate interview scheduling and logistics with hiring managers
  • Support offer letter preparation and pre‑employment activities under HR leadership direction
  • Assist with hiring events, job fairs, and urgent staffing initiatives as assigned
  • Serve as a point of contact for routine employee HR inquiries and requests
  • Assist with employee relations documentation tracking and follow‑up
  • Support employee engagement initiatives, training coordination, and internal communications
  • Escalate complex or sensitive issues to appropriate HR leadership
  • Manage and monitor shared HR inboxes to ensure timely, professional responses
  • Triage incoming requests and route matters to appropriate HR team members
  • Track open inquiries and follow up to support timely resolution
  • Maintain consistent communication aligned with company standards and professionalism
  • Provide HR coverage during employee absences, leaves, vacancies, or peak workload periods
  • Support multiple locations, departments, or HR functions as business needs require
  • Adapt quickly to changing priorities and urgent HR needs
  • Travel between locations or provide remote support, as required
  • Assist with HR projects such as policy updates, engagement initiatives, and process improvements
  • Support internal and external audits by gathering documentation and tracking requirements
  • Maintain organized HR files and records to support audit readiness
  • Prepare HR trackers, reports, and dashboards as assigned
  • Support special projects and administrative tasks as needed
